  • Coordinate with maintenance staff and external vendors to ensure prompt resolution of work orders and preventative maintenance.
  • Oversee rent collection and ensure timely resolution of delinquencies in coordination with accounting and legal support.

Role Overview

Reporting to the Area Manager, the Property Manager oversees the day-to-day operations of the property, with a focus on delivering a strong resident experience and supporting overall financial performance. This role is responsible for tenant relations, leasing and maintenance coordination, and financial oversight, while working closely with residents and vendors to maintain a well-functioning and engaged community.

Responsibilities
Tenant Relations
  • Foster positive tenant relationships through proactive communication and prompt resolution of inquiries, concerns, and maintenance requests
  • Organize and participate in tenant engagement initiatives and community-building events
Leasing and Marketing
  • Take ownership of leasing efforts to ensure high occupancy levels through active marketing, lead follow-up, conducting tours, and closing lease agreements
  • Collaborate with internal teams to ensure timely response to rental inquiries and a seamless leasing process
  • Implement and execute marketing strategies to attract qualified tenants, monitor leasing performance metrics, and provide regular updates to leadership
  • Ensure all leasing documentation is accurate, compliant, and processed efficiently
Lease Administration
  • Manage lease terms including new agreements, renewals, notices, and terminations
  • Ensure lease data is current and rental payments are processed accurately and on time
Rent Collection
  • Oversee rent collection and ensure timely resolution of delinquencies in coordination with accounting and legal support
Property Maintenance
  • Coordinate with maintenance staff and external vendors to ensure prompt resolution of work orders, preventative maintenance, and capital improvements
  • Conduct regular property inspections to uphold curb appeal, cleanliness, and safety
Financial Management
  • Support the development and management of annual operating budgets, control property expenses, and track actuals against budget targets
  • Contribute to financial reporting by submitting occupancy, collections, and maintenance updates
Compliance and Risk Management
  • Ensure the property complies with applicable legislation, building codes, and internal policies
  • Respond to incidents and emergencies in a timely, professional manner
Vendor Management
  • Oversee vendor relationships, contract negotiations, and service delivery to maintain quality standards and cost efficiency
Reporting
  • Submit regular operational and financial performance reports to regional leadership
Work Schedule and Community Engagement

The Property Manager is expected to maintain a flexible work schedule to meet the operational needs of the property, which may include occasional evenings and weekends. Active participation in community events is a key responsibility of this role. As a representative of Zen Residential, the Property Manager is expected to be present and engaged at these events, supporting initiatives that enhance the resident experience and foster a strong, connected community.

Hours of Work and Overtime Eligibility

This position is classified as a managerial role and is exempt from overtime provisions in accordance with applicable employment standards legislation. The Property Manager is responsible for managing their time and priorities to meet the operational needs of the property.

Qualifications
  • Bachelor's degree in Business Administration, Real Estate, or a related field (or equivalent experience).
  • Proven experience in property management or a related field, demonstrating strong organizational and problem-solving skills.
  • Excellent communication and interpersonal skills for tenant interaction, team collaboration, and vendor coordination.
  • Proficiency in property management software and Microsoft Office Suite.
  • Knowledge of local property management regulations and best practices.
  • Detail-oriented mindset with the ability to manage multiple tasks and priorities.
  • Strong financial acumen and budgeting skills.
  • Valid driver's license and reliable transportation.
