Our client in the commercial real estate space is seeking a Manager, Property Management to oversee the day‑to‑day operations and financial performance of an assigned portfolio of commercial properties. Reporting to the Asset Manager, the successful candidate will play a key role in maximizing property performance, maintaining strong tenant and stakeholder relationships, and ensuring the properties are operated to a high standard. This is a hands‑on role suited to a property management professional who is highly organized, commercially minded, and comfortable managing multiple priorities in a fast‑paced environment. This role is 100% onsite based out of their office in the Milton/Hamilton area.
Key Responsibilities
Property Operations & Maintenance
- Conduct regular property inspections and site visits to identify operational opportunities, deficiencies, and areas for improvement.
- Oversee day‑to‑day property operations, maintenance, repairs, and service providers while ensuring work is completed safely, efficiently, and within approved budgets.
- Identify and implement initiatives to improve operational efficiency, reduce costs, increase revenue, streamline workflows, and enhance property presentation and curb appeal.
- Tender, negotiate, and manage maintenance and service contracts.
- Coordinate landlord and tenant work to ensure compliance with building codes, lease requirements, and landlord specifications.
- Manage approved capital expenditures and assist with redevelopment and development projects as required.
Tenant & Stakeholder Relations
- Develop and maintain strong relationships with owners, clients, tenants, contractors, and other key stakeholders.
- Manage tenant and contractor relationships and coordinate day‑to‑day property requirements.
- Oversee tenant move‑in and move‑out processes and other tenant coordination activities.
- Manage tenant and customer inquiries and complaints, ensuring timely and professional resolution.
- Administer Customer Centricity initiatives and programs.
- Prepare and distribute notices in accordance with lease requirements.
- Review tenant insurance certificates to ensure compliance with lease obligations.
Leasing & Revenue Management
- Support Leasing Managers and Asset Managers with leasing initiatives and activities.
- Monitor lease expiries and work with tenants and the leasing team to support renewals and re‑leasing strategies.
- Assist in identifying opportunities to optimize rental income and property performance.
- Review and approve rent rolls, rental advice notices, and related documentation.
- Oversee rent collection and issue notices as required.
Financial & Budget Management
- Prepare annual property operating budgets for landlord approval and manage property expenses within approved budgets.
- Maintain a strong understanding of the financial performance and position of assigned properties.
- Manage Accounts Receivable and Accounts Payable activities associated with the portfolio.
- Prepare monthly management reporting, including operating narratives, budget variance reports, and aged receivables reports.
- Assist with cash flow management and forecasting.
- Support the Asset Manager with realty tax appeal processes as required.
Team Leadership
- Establish and monitor performance and quality targets for direct reports.
- Provide direction, support, and oversight to property management team members and service providers.
- Foster a collaborative, accountable, and service‑focused working environment.
- Perform other duties and responsibilities as assigned.
About You
- 3+ years of progressive experience in commercial property management, with retail experience considered an asset.
- Strong organizational skills and exceptional attention to detail, with the ability to manage multiple priorities and meet deadlines in a fast‑paced environment.
- Strong financial and analytical skills, with an understanding of property‑level budgets, operating expenses, accounts receivable, and accounts payable.
- Excellent verbal and written communication skills.
- Strong interpersonal and relationship‑management skills, with the ability to work effectively with tenants, owners, contractors, and internal stakeholders.
- Excellent problem‑solving skills and a proactive, solutions‑oriented approach.
- Strong computer skills, including proficiency with Microsoft Office.
- An active Real Property Administrator (RPA) or Certified Property Manager (CPM) designation is preferred.
- A post‑secondary education in real estate, business, finance, or a related discipline is considered an asset.
