As Riverpark continues to grow, we are looking for a motivated and service-oriented Property Manager to join our company.
Position Summary:
- This position will report directly to the Director, Property Management
- Portfolio is a mix of asset types and users
- Competitive salary based on experience
Position Requirements:
- Minimum 5 years’ Property Management experience in commercial, retail and/or industrial buildings
- RECA license is preferred – candidates must be willing to obtain the licensing
Core Responsibilities:
- Develop, monitor, and manage budgets, ensuring financial efficiency and adherence to the client’s goals.
- Handle financial recoveries by analyzing and tracking expenses and ensuring appropriate reimbursements are processed.
- Prepare and analyze monthly, quarterly, and annual financial statements, ensuring accuracy and compliance with financial standards.
- Compile and present financial reports for management and clients and providing insights and analysis to support business decisions.
- Review and approve invoices through DocuSign to ensure timely payments and proper documentation.
- Oversee purchase order creation and tracking, ensuring proper approval processes and financial controls are in place.
Customer Service
- Respond to tenant inquiries and requests, coordinating maintenance, repairs, and other services efficiently to ensure tenant satisfaction.
- Act as the primary point of contact for property owners, addressing their requests and providing regular updates on property operations.
- Communicate with external stakeholders, including vendors, service providers, and the general public, when necessary to facilitate property-related services.
- Collaborate with internal teams such as accounting, operations, and leasing to ensure smooth property operations and address any cross-departmental concerns.
- Organize and participate in tenant meetings to discuss issues, updates, and improvements related to the property while fostering a positive relationship with tenants.
Operations
- Work with the team or lead on capital improvement projects, ensuring they are completed on time, within budget, and to the required specifications. Monitor project progress and report on key milestones.
- Oversee regular maintenance and repair activities across the property to ensure facilities are in excellent condition and meet operational standards.
- Ensure compliance with all health and safety regulations by implementing and maintaining safety protocols to protect tenants, staff, and contractors.
- Liaise with Building Operators to ensure any issues are addressed in a timely manner.
- Manage relationships with external service providers (e.g., maintenance, security, landscaping, cleaning), ensuring all services are delivered effectively and contracts are adhered to.
- Conduct regular inspections of the property to assess conditions, identify issues, and ensure compliance with regulations and standards.
- Prepare and manage Requests for Proposals (RFPs) and gather quotes for various services and projects while ensuring competitive pricing and quality service delivery.
Leasing
- Initiate and lead discussions with tenants regarding lease renewals, surrenders, rent relief, and other related negotiations while ensuring outcomes are favorable for both parties.
- Evaluate the costs of the landlord’s work as part of deal analysis, ensuring that pricing aligns with market conditions and is factored into lease agreements.
- Monitor and enforce lease compliance, ensuring that all terms and conditions are being followed by tenants including rent payments, maintenance obligations, and other contractual duties.
- Oversee and coordinate any required landlord’s work including tenant improvements, repairs, and other construction or renovation projects outlined in lease agreements.
- Manage and approve tenant signage requests, ensuring all signage is in line with building regulations, lease terms, and branding guidelines.
Leadership
- Oversee and coordinate with administrative teams and Operators to ensure tasks are completed efficiently, operations run smoothly, and all teams are aligned with company goals.
- Conduct regular check-ins with team members to assess performance, offer guidance, and mentor them to support their growth. Provide constructive feedback to help employees improve and excel in their roles.
- Provide leadership and direction to team members ensuring they have the support and resources they need. Manage approvals for key decisions, tasks, and processes as necessary, ensuring compliance with company policies and procedures.
Administration
- Manage and respond to incoming emails promptly, ensuring clear communication with internal and external stakeholders regarding contracts, licensing, and operational updates.
- Review, draft, and manage contracts, ensuring all agreements are properly executed and compliant with legal and organizational standards.
- Oversee and maintain records of licensing and certification requirements, ensuring the department and staff comply with regulatory and educational standards.
- Prepare and distribute reports related to compliance, licensing, contracts, and departmental performance, providing insights and updates to management as required.
- Ensure departmental policies and procedures are up-to-date and consistently followed. Maintain accurate records and documentation to support operational excellence.
- Serve as the point of contact for BOMA to ensure the organization stays informed and compliant with industry standards and best practices.
