Job summary

Zen Residential Ltd. is seeking a Property Administrator to support property operations, resident relations, inspections, maintenance coordination, and administrative functions across our Alberta portfolio.

The ideal candidate is highly organized, service-oriented, and thrives in a fast-paced environment with a focus on exceptional customer service. Responsibilities include conducting inspections, preparing reports, managing service requests, maintaining records in Yardi and SharePoint, and

Qualifications

  • Minimum 2 years of experience in property management or related administrative role.
  • Post-secondary education in Business Administration, Property Management, Real Estate, or a related field is preferred.
  • Experience with Yardi or similar property management software is strongly preferred.
  • Proficiency with Microsoft 365, including Outlook, Word, Excel, Teams, and SharePoint.
  • Strong organizational, time management, multitasking, and communication skills.
  • Valid driver’s licence and reliable transportation.
  • Property management certification is considered an asset.

Responsibilities

  • Coordinate and conduct annual, renewal, and quarterly property inspections.
  • Prepare inspection reports and document findings.
  • Track and manage service requests to ensure timely completion.
  • Maintain accurate property, resident, and operational records within Yardi and SharePoint.
  • Monitor action trackers and follow up on outstanding tasks.
  • Prepare letters, reports, and other property management documentation.
  • Review contracts and monitor key dates, requirements, and obligations.
  • Perform general administrative duties, including data entry and document management.
  • Respond to resident inquiries and requests in a professional and timely manner.
  • Coordinate resident communications related to inspections, maintenance, move-ins, move-outs, and lease renewals.
  • Coordinate maintenance schedules, inspections, and service appointments.
  • Monitor smart building systems and coordinate repairs with vendors as required.
  • Assist with property improvement projects, including obtaining quotes and tracking project progress.
  • Review security reports and coordinate follow-up actions when required.
  • Monitor move-ins, move-outs, and lease renewals to ensure deadlines are met.
  • Maintain accurate lease and occupancy records.

Position Summary

Reporting to the Area Manager, the Property Administrator plays a key role in supporting property operations, resident relations, inspections, maintenance coordination, and administrative functions across the portfolio.
