Job summary

  • Demonstrated ability to coordinate projects effectively, with strong organizational and time-management skills.
  • Experience working with project management software and database systems, including Customer Relationship Management (CRM) systems.
  • Excellent oral and written communication skills, including project reporting and documentation.
  • Strong presentation and event-management skills.
  • Strong interpersonal, relationship-building, and customer service skills.
  • Demonstrated ability to work collaboratively with internal and external stakeholders.
  • Ability to work effectively in a fast-paced environment, manage multiple priorities and deadlines, and adapt to changing requirements.

  • Proficiency with common software applications, including Microsoft Office and Google Workspace.
  • Equivalent experience or a combination of equivalent experience and education may be accepted in place of education.

Responsibilities

  • Develops project plans for internal and external stakeholders based on required program objectives, outlining tasks, activities, deliverables, timelines and project milestones, in consultation with the Manager.
  • Monitors progress, identifies challenges, potential setbacks and updates key stakeholders on deliverables following established milestones and resource allocations.
  • Coordinates and facilitates internal and external team meetings including booking rooms, performing venue set up, taking meeting minutes, preparing stakeholder correspondence/communications, including reports and dashboards, and preparing meeting agendas.
  • Acts as the point of contact and addresses external inquiries from stakeholders including concerns and/or requests regarding meetings.
  • Coordinates and facilitates all aspects of program events including virtual and in-person courses and workshops from inception, planning, logistics and execution This includes securing logistics, setting up virtual events, booking rooms, performing venue set-ups, preparing materials, and disseminating invitations, in accordance with required arrangements and health and safety guidelines. Collects and disseminates program materials and resources to participants.
  • Administers a variety of online programs including project management software, dashboards, CRMs, and participant management databases.

The Catalyst is a not-for-profit corporation owned and operated by Toronto Metropolitan University and based in Brampton, ON. Hybrid work schedule with expectations of weekly days in the Brampton offices.

The opportunity

The Project Coordinator, Training Programs provides program coordination and administrative support for the delivery and operations of training programs at the Rogers Cybersecure Catalyst.

This role coordinates project activities, communications, data tracking, scheduling, and program administration to support the effective and seamless delivery of training initiatives. The Project Coordinator works collaboratively with internal and external stakeholders, maintains accurate program information and records, and supports the successful execution of program-related activities and projects.
