Toronto - Project Coordinator - Research & Development

Our Research & Development (R&D) organization is focused on developing cutting-edge technologies and solutions that ensure the integrity and safety of critical infrastructure. The Project Management Office (PMO), part of R&D, is responsible for delivering high-impact projects ranging in size from $100,000 to $3 million.

Reporting to the Global Manager, Project Management Office, the Project Coordinator works closely with Project Managers and Sr. Engineers to support the planning, execution, and tracking of both internally and externally funded projects. We are looking for a Project Coordinator to join our PMO team. This is an excellent opportunity for a motivated and detail-oriented professional to grow their career in project management.

Responsibilities
  • Project Planning & Documentation
    • Assist in preparing project charters, work breakdown structures, and stakeholder communication plans.
    • Support the development and maintenance of project schedules and timelines.
    • Support in writing regular project status reports.
  • Budget & Financial Support
    • Help draft and update project budgets and forecasts.
    • Track expenditures and assists in cost reporting and analysis.
  • Progress Tracking & Reporting
    • Support the definition and application of progress measurement methods.
    • Prepare regular project status reports and presentations for internal and external stakeholders.
  • Quality & Compliance
    • Ensure documentation and project activities follow internal quality standards and processes.
    • Assist with project reviews, audits, and post-project evaluations.
  • Administrative Coordination
    • Organize meetings, take minutes, and track action items.
    • Maintain project documentation and version control in collaboration tools (e.g., SharePoint).
What We are Looking for
  • Bachelor’s degree in Engineering, Business, Project Management, or a related field.
  • Relevant experience in a project coordination or project support role, preferably in a technical or R&D environment.
  • Working knowledge of project management tools (e.g., MS Project, Excel, SharePoint).
  • Familiarity with project management frameworks (PMBOK, Agile, or PRINCE2) is a plus.
  • Strong organizational, analytical, and communication skills.
  • Comfortable working in a fast-paced environment.
  • Is a team player with proven ability to collaborate with others.
  • Fluent in English: in speaking and writing.
Nice to Have
  • Experience in oil & gas, energy, or industrial sectors.
  • Certification or coursework in project management (e.g., CAPM, PMP, Prince2 or equivalent in progress).
