Job summary

Robertson & Company Ltd. in Toronto seeks a Project Coordinator II to support an existing vacancy in a hybrid setting. The role focuses on coordinating events, managing vendors, and overseeing budgets within a dynamic financial services environment.

You will handle in-person and virtual sessions, maintain attendance records, collaborate with internal teams, and provide post-event feedback to drive continuous improvement while ensuring compliance with policies.

Qualifications

  • Post Secondary in Business Administration degree required.
  • 2-4 years of experience in event coordination, program coordination, learning administration, corporate training support, or program management.
  • Experience coordinating corporate events and managing logistics.
  • Strong proficiency with Microsoft 365 applications, including Excel, Outlook, Teams, PowerPoint, and Word.
  • Experience working with Learning Management Systems (LMS) or learning administration platforms.
  • Proven experience with budget tracking, financial reporting, and vendor management.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent verbal and written communication skills with strong stakeholder management abilities.
  • Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
  • Strong problem-solving skills and ability to adapt to changing priorities.
  • Experience supporting leadership development, learning & development, or corporate training programs preferred.
  • Experience coordinating virtual learning events and online learning platforms preferred.
  • Familiarity with Adobe products is an asset.
  • Experience working with global or cross-functional teams preferred.
  • Ability to work independently and collaboratively with minimal supervision.
  • Willingness to travel and valid passport preferred for occasional international travel.

Responsibilities

  • Source and secure venues for in-person sessions, including contracting, AV, and equipment requirements.
  • Source and manage partnerships with external vendors, ensuring services are delivered in line with statements of work.
  • Manage internal and external catering to ensure meals meet dietary requirements and program guidelines.
  • Own the events budget, partnering with program leaders to monitor spend and mitigate cost overruns.
  • Oversee registration processes and maintain accurate attendance records collaborate with vendors to capture program metrics and confirm participation.
  • Partner with internal teams to support facilitator and participant onsite needs aligned to program design.
  • Ensure all events adhere to company policies, health and safety standards, branding guidelines, and accessibility requirements.
  • Actively update project plans and provide status updates to internal stakeholders.
  • Support overall program delivery through effective communication and active participant engagement.
  • Provide post-event feedback and recommendations for continuous improvement.
  • Support the administration and curation of virtual and online learning experiences, including learner enrollment, content management, communications, reporting, and learner support.
  • Contribute to special projects and other duties as assigned in support of the Leadership Development team and evolving business priorities.

Introduction

Prime Hires is seeking a skilled Project Coordinator II to join our client in support of an existing vacancy.

Contract Period

12 months with potential to convert or extend

Pay Rate

$27 per hour
