Department: Central Administration

Reports to: Director, Capital Projects

Location: Hamilton, ON

Hours of Work: 37.5 hours per week

Start Date: TBD

The Project Coordinator plays a critical part supporting our Director of Capital Projects in planning, executing, and delivering projects on time and within budget. The Project Coordinator will assist in scheduling minor capital projects, managing resources, and working as liaison between management team and contractors/vendors, while ensuring seamless collaboration.

· Supports scheduling contractor work according to project timelines;

· Identifies and escalates to Director of Capital Projects any potential risks and delays;

· Maintains adequate and timely communication with contractors, vendors and internal resources to ensure the smooth implementation of project plans;

· Coordinates consultants, contractors, vendors, and internal/external stakeholders to ensure the successful delivery of capital projects;

· Tracks project milestones and deliverables, ensuring their alignment with project timelines;

· Monitors project expenses, tracking invoices and submitting for approval and payment in a timely manner;

· Documents vendor quotes and submits to Director for approval;

· Maintains appropriate documentation for each project ensuring it stays updated and relevant as needed;

· Maintains appropriate record-keeping and reporting in accordance with YWCA Hamilton’s policies and procedures and confidentiality/privacy policies;

· Develops and maintains effective working relationships with internal and external stakeholders, suppliers and contractors to meet service requirements, addresses issues and concerns that may arise with a collaborative and problem-solving approach;

· Conducts site visits identifying any quality or safety risks and escalating to Director as needed;

· Prepares regular reports on the status of projects identifying any delays or challenges that require additional supports or resources;

· Provides project progress updates and revisions to schedule and costs to internal and external stakeholders as required;

· Maintains confidentiality when working with contract information;

· Understands emerging trends, leading practices, industry professional standards;

· Supports in the development and update of existing policies, procedures, and various manuals;

· Fosters a safe and healthy work environment; ensures contractors comply with health, safety standards that meet or exceed legislated requirements;

· Helps resolving minor issues and bottlenecks either at project site or in the overall implementation of the project;

· Works safely, reports all workplace hazards and follows all YWCA Hamilton Health and Safety policies and procedures;

· Nurtures and forms meaningful internal and external working relationships and partnerships;

· Supports YWCA Hamilton mission, vision and values;

· Performs other duties as required.

WORKING CONDITIONS:

· Works 37.5 hour work week;

· May be required to travel between sites from time to time.

Qualifications

· 1 to 2 years of postsecondary in Administration, Business, Project Management or similar, or equivalent combination of education and experience;

· 1 year in project coordination, administration, or a similar role;

· Excellent organizational and time-management abilities;

· Strong written and verbal communication;

· Problem-solving mindset with attention to detail;

· Ability to work under pressure and meet deadlines;

· Proficiency in MS Office (Excel);

· Basic working knowledge of Ontario Building Code and Occupational Health and Safety Act;

· Ability to travel between properties during regular business hours as needed;

· Bilingual English/French or other languages an asset;

· Must be able to lead and work from a feminist, anti-racist / anti-oppressive perspective for operations and strategic planning;

· Must have current Standard First Aid and CPR certificate or willingness to obtain at own cost;

· Must provide a current Criminal Record Judicial Matters Police check or willingness to obtain at own cost;

· Ability to work independently with minimal supervision, and also work effectively in a team.
