Job Description:

Reporting to the Project Manager and/or Vice-President, Projects and Estimating, the Project Coordinator will provide support to the Project Management, Technical Services teams, and Field Operations by coordinating and analyzing a variety of rail projects involving various transportation sectors including Class 1 rail, Light Rail Transit, and various rail/general construction projects.

This role requires a highly organized and detail-orientated individual who can coordinate multiple projects, travel extensively to project sites, maintain and present accurate documentation, and ensure all project activities are executed in accordance with client requirements, contractual obligations, and company rules, regulations and standards.

The ideal candidate will have recently graduated with a diploma or degree in Project Management, Business Administration, Construction Management or Engineering Technology - a recent graduate from a related field would be considered with 1-3 years of experience.

Primary / Essential Duties:

  • Provide support to the Project Manager in the planning and execution of assigned projects including scheduling, resource planning, project specific / site specific logistics and workforce allocation.
  • Provide input on business development potential, ensuring individual projects are monitored with detailed, timely information being communicated to respective clients.
  • Monitor daily project deliverables and timelines to ensure project deadlines are met with exceptions communicated and escalated to both internal and external stakeholders.
  • Coordinate site-specific procurement requirements, purchase orders, and material tracking.
  • Travel regularly to project sites to verify project progress and to support field operations - review documentation while onsite and extend support to project teams as required.
  • Support all site supervisors and field teams with operational requirements and required administrative tasks.
  • Maintain accurate project files, documentation and records preparing daily, weekly and monthly project reports (where required - schedule may vary on specific project requirements) and communicate accordingly.
  • Compile meeting minutes, document change orders, progress updates and reports and draft correspondence (where required).
  • Assist in the collection and maintenance of project records including compliance with safety standards and requirements, permits, inspections and work closely with HS&E team to document compliance requirements while onsite.
  • Build collaborative relationships with clients, subcontractors (when required), suppliers and internal stakeholders.
