The Role:
To manage and support projects as identified by the Manager or Director in the program area and to contribute to the coordination of projects across multi-functional areas of Public Health Ontario.
Key Responsibilities-
- Assists in the planning and development of specific projects in consultation with management, team members and stakeholders (internal and external to PHO).
- Coordinates all aspects of the projects, such as project charters, critical paths and milestones, budgets, work schedules, roles and responsibility charts etc. using project management methodologies. This includes identifying key outcomes and deliverables, ensuring all expenditures are approved and authorized within financial delegations, and developing an evaluation plan which may include both process as well as outcome evaluation and which engages the stakeholders involved with the project.
- Supports Manager in annual operational planning activities and ongoing progress monitoring and reporting for tracked operational plan initiatives.
- Ensures that all projects adhere to PHO policies and provincial directives, and proactively identifies risks, barriers and/or problems including developing mitigation strategies, by bringing these issues to the attention of the Manager.
- Supports the work of working groups and committees/subcommittees as needed.
- Coordinates the flow of information to stakeholders to provide updates on project progress as relevant using PHO standardized templates and tools.
- Leads correspondence with stakeholders with respect to their access to and use of PHO applications (e.g., stakeholder relationship management system, Surveys@PHO, Learning Management System (LMS)).
- Supports the development and documentation of needs assessments, jurisdictional scans and evaluative surveys; assists with the collection and analysis of data as needed; contributes to the documentation of findings and recommendations in reports, summaries and presentation materials.
- Assists with the procedure of external funding applications associated with the project as needed.
- Provides support for literature searches to assist staff and stakeholders with priority setting and knowledge exchange.
- Other duties as assigned.

- Project management, problem solving, organizational and prioritizing skills to plan, coordinate, and execute the multi-faceted projects.
- Focused planning and organizational skills to independently undertake the planning and execution of several activities concurrently.
- Analytical and conceptual abilities to manage programs from inception, through implementation to evaluation.
- Creative thinking skills to plan and run program focused activities so that they meet both the program objectives, and that they provide participants with the desired learning and educational benefits.
- Skills in stakeholder engagement, particularly as a means to contribute to program planning initiatives.
- Skills in project management, coordination and organization as a means to manage multiple competing priorities and timelines.
Education and Experience-
- A Bachelor’s Degree from an accredited college or university in Health Administration, Public Health, Political Science, Communications or related education.
- Diploma, certification or equivalent in project management, program planning is an asset.
- Two (2) years of experience in managing/coordinating projects and events.
Attributes and Competencies-
- Knowledge of project management methodologies and techniques to coordinate all aspects of the projects from inception to implementation/completion/evaluation, such as project charters, critical paths and milestones, work schedules, roles and responsibility charts, etc. with meticulous attention to detail.
- Some knowledge of iPHIS, Panorama or other public health information systems; familiarity with enterprise-wide applications (e.g., Surveys@PHO, LMS) is considered an asset.
- Understanding of Canadian public health and healthcare systems in order to know where to find information sources, such as when undertaking jurisdictional scans and evaluative surveys.
- Skills and ability to conduct environmental scans, consultations and information analysis to inform development.
- Understands literature review process in order to coordinate and provide logistical support for project activities.
- Organizational, time management, and priority-setting skills in order to organize and coordinate multiple projects.
- Interpersonal, leadership, teamwork and relationship building skills are required in order to maintain effective linkages with all levels of contacts both internal and external to PHO in order to accomplish goals and objectives of assigned projects.
- Skill and ability to develop proposals, reports, and presentations.
- Problem-solving skills and negotiation skills to ensure that projects are completed on time;
- Skill and ability to work under pressure and respond to deadlines in a fast-paced environment;
- Proficiency with office computer systems (e.g., database management, word processing, spreadsheet and presentation applications, and SharePoint).
- Good oral communication skills in both formal and informal settings, such as consulting with management, team members and stakeholders (internal and external to PHO) regarding the development of specific projects.
- Strong written communication skills in order to prepare operational planning reports project management documentation, and application specific support resources for end users. .
- Judgement and problem-solving skills are utilized in the development of mid to long-term goals, operational strategies and deliverables;
- Ensuring all projects adhere to PHO policies and provincial directives, and the ability to proactively identify problems including developing risk mitigation strategies, by bringing these issues to the attention of the manager.
- Accountable for coordinating all aspects of the projects, such as project charters, critical paths and milestones, work schedules, roles and responsibility charts, etc., in order to ensure that the project leads are well-organized and understand their project roles.
- Works as a collaborative team member while developing professional networks/partnerships.
