Job summary

Priestly Demolition is seeking a Project Coordinator to join our team to support the planning, coordination and execution of demolition projects from start-up to close-out. You will work closely with Project Managers to keep projects organized, on schedule and operating efficiently.

The role emphasizes handling project documentation, cost tracking, procurement support, and maintaining accurate records while ensuring all stakeholders stay informed throughout the lifecycle.

Qualifications

  • College/University degree in construction or project management.
  • 3+ years’ experience supporting demolition/construction projects.
  • Proficient with MS Office; able to learn project software.
  • Familiarity with Viewpoint, B2W, Bluebeam, MS Project.
  • Willingness to travel to project sites as needed.

Responsibilities

  • Support the successful planning, coordination and execution of demolition projects from start‑up through close‑out.
  • Coordinate project documentation, track costs, and maintain accurate records.
  • Assist with procurement activities and review subcontractor quotations.
  • Create and maintain project reports for PMs and VP Operations.
  • Communicate project information effectively to clients and teams.
  • Prepare subcontractor documents, change orders and progress billing.
  • Maintain electronic project files and ensure contract documents are up to date.
  • Support monthly invoicing and ensure timely submissions.
  • Assist with site visits and coordination of field and office teams.

Primary Purpose of Position:

Priestly Demolition is seeking a Project Coordinator to join our team. In this role, you will support the successful planning, coordination, and execution of demolition projects by assisting with project administration from project start‑up through to close‑out. Working closely with Project Managers, you will help keep projects organized, on schedule, and operating efficiently. Responsibilities include coordinating project documentation, tracking project costs and progress, supporting procurement activities, maintaining accurate project records, and ensuring project information is communicated effectively throughout the project lifecycle. This position is primarily office‑based, with occasional travel to project sites as required.

Job Duties
  • Responsible for project cost reporting by way of reviewing and approving foreman daily logs, preparing purchase orders, preparing subcontracts, and cost coding trucking tickets and other miscellaneous job expenses.
  • Assist with project deliverables and execution from start up to completion and financial close out.
  • Assist the PM in the drafting and issuance of project proposals, requests for information, requests for pricing, budgets, cash flows, and preliminary schedules.
  • Track the progress of work on site through the use of takeoff software.
  • Use project scheduling and control tools to monitor project plans, work hours, budgets and expenditures.
  • Create and maintain Viewpoint operations reports for VP, Business Operations and Project Manager on an ongoing basis.
  • Review and maintain B2W Track reports for VP, Business Operations and Project Manager on an ongoing basis.
  • Effectively and accurately communicate relevant project information to the client and project team.
  • Ensure clients’ needs are met in a timely and cost effective manner.
  • Review project documentation - i.e. contracts/drawings/specs - and ensure documents are complete and up to date.
  • Issue, follow‑up and track Contracts, Letters of Intent, Purchase Orders, Submittals, etc.
  • Assist the PM in the review of subcontractor quotations to ensure that only fair and reasonable pricing is recommended for approval.
  • Price Time and Material (Work Authorization) forms according to posted PDI price list.
  • Track & manage change orders and T&M work authorizations in the database.
  • Assist in monthly progress billing and ensure invoices are submitted for ongoing projects every month.
  • Create and maintain job binders for the field and the office.
  • Maintain electronic job file by ensuring all project documents are appropriately filled and available.
  • Prepare substantial completion certificates and ensure all required project close out documents are obtained.
  • Communicate ideas for improving company processes with a positive and constructive attitude, and for developing this attitude in others.

Requirements
  • College, University or equivalent degree in a related discipline (i.e. Construction/Project Management).
  • 3+ years’ experience supporting Project Managers in the delivery of Demolition/ Construction projects.
  • Proficient in Microsoft Office Suite.
  • Demonstrated willingness to be adaptable and flexible to changing priorities.
  • Familiarity with demolition methods and legislation.
  • Strong preference will be given to candidates with construction software experience. Specifically Viewpoint, B2W, Bluebeam, and Microsoft Project.
  • Experience in the field of demolition is definitely an asset.
Work Conditions
  • Safety equipment will be required, e.g. steel‑toed safety boots, safety glasses/goggles, etc.
