Job summary

TalentSphere Staffing Solutions is seeking a Project Coordinator / Sales Support to join our client’s HVAC team. You’ll coordinate customer orders, prepare project documentation, and ensure smooth project execution from quote to delivery.

You will work closely with Sales and Project Management teams, learn from seasoned professionals, and benefit from ongoing product and industry training to support your career growth in a collaborative environment.

Qualifications

• 3+ years of experience in project coordination, customer service, sales support, or similar role.
• Excellent communication and relationship-building skills.
• Professional, positive, customer-first attitude.
• Strong organizational skills with attention to detail.
• Ability to manage multiple priorities in a fast-paced environment.
• Proactive, resourceful mindset and willingness to learn.
• Ability to work independently and collaboratively.
• Post-secondary education (College or University) is an asset.

Responsibilities

• Partner with Project Managers and Sales Representatives to support projects from start to finish.
• Prepare proposals, quotations, and project documentation.
• Process customer orders accurately and resolve order discrepancies quickly.
• Track shipments and delivery schedules; communicate updates to customers.
• Notify customers when orders are ready for pickup or delivery.
• Assist estimators with pricing and bid preparation.
• Prepare and submit technical documentation and product submittals.
• Deliver outstanding customer service and build long-term client relationships.
• Represent the company at events and industry networking opportunities.
• Expand product knowledge through manufacturer training and independent learning.
• Support additional projects and initiatives as needed.
