- Act as the primary project support role for assigned undergraduate-program projects in the Dean’s Office
- Provide first-point support to the Student Services Manager, Associate Dean (Undergraduate Students), or Project Lead
- Support development of project documents, including presentation slide decks, charters, and reports
- Analyze project risks and opportunities and communicate them to the manager
- Coordinate with the College of Natural and Applied Science, Registrar’s Office, Student Success and Experience, other faculties, and Faculty of Engineering units
- Develop, manage, and maintain project documents, reports, and spreadsheets
- Perform quantitative data preparation, cleaning, analysis, interpretation, and production of tabular or graphical outputs
- Perform qualitative analysis and interpretation of survey responses, including thematic analysis and visual outputs
- Identify project process problems and bottlenecks and work with the Manager to suggest solutions
- Attend project meetings ranging from multiple times per week to monthly
- Liaise with partners, student advisors, records coordinators, and project leadership
- Develop communication drafts, engagement materials, and project collateral for internal and external engagement
Requirements
- Degree or Diploma with 2+ years of experience directly coordinating and delivering projects
- Demonstrated knowledge of the full project life cycle and hands‑on experience using project tracking tools to monitor timelines and deliverables
- Strong knowledge of documentation, spreadsheet and presentation tools, including Microsoft Office Suite (docx, xlsx, pptx) and Google Suite (Docs, Sheets, Slides)
- Experience in higher education or a complex institutional environment, with working knowledge of academic program requirements and calendar changes
- Proven data management skills, including data cleaning, basic analysis, and producing visual summary reports or dashboards
- Strong problem‑solving and analytical skills, including identifying project bottlenecks, assessing risks, and suggesting actionable solutions
- Exceptional communication, writing, and knowledge translation skills, including adapting messaging, drafting collateral, and building presentation decks for diverse academic audiences
- Proven organizational and time-management skills, balancing competing priorities, maintaining high accuracy, and taking initiative independently
- Strong interpersonal skills and experience building collaborative relationships across diverse teams and campus units
- Formal project management training or certification (preferred)
- Familiarity with change management principles and risk management/quality assurance processes (preferred)
- Knowledge of university student advising frameworks and academic administration workflows (preferred)
- Advanced data processing and management skills and familiarity with survey or reporting tools (preferred)
