We are seeking a dedicated and detail-oriented Project Coordinator to join our team. We're looking for someone who enjoys bringing structure to creative projects in our hybrid work environment. In this full-time position, you'll coordinate between clients, designers, and vendors while ensuring projects stay on schedule and within budget.

What You Will be Doing

As our Project Coordinator, you'll be the operational backbone of our studio, ensuring projects flow smoothly from initiation to completion. Your keen organizational skills and attention to detail will help our creative team deliver exceptional work on time and on budget.

  • Create detailed scope of work documents outlining deliverables, specifications, budgets, and timelines
  • Develop and maintain project schedules using workback methodologies, making daily updates as priorities shift to ensure on-time delivery
  • Assign and prioritize tasks across the design team, monitoring progress and addressing bottlenecks to maintain project momentum
  • Manage scope and budget throughout the project lifecycle, flagging potential issues early and implementing solutions to keep projects on track
  • Serve as the primary client contact during project initiation and coordinate across project phases
  • Organize client files and prepare assets, ensuring they're accessible for designers
  • Proactively manage print and signage services, acting as liaison between vendors, clients, and our team
  • Gather post-project client feedback to identify opportunities for improvements

What You Bring

  • Bachelor’s degree, Business Management, Project Management, PMP or CAPM certification (or similar education)
  • 2+ years of project management experience in a design, marketing, or creative environment
  • Experience with scheduling tools and resource allocation in a team environment
  • Project Management software experience preferred
  • Practical understanding of design and print production processes
  • Budget tracking and financial oversight skills
  • Proficiency with Mac environment, Adobe Creative Suite, and cloud-based file management systems
  • Strong organizational skills with exceptional attention to detail
  • Ability to translate creative concepts into executable project plans with clear deliverables
  • Calm, solution-oriented approach to managing competing priorities and tight deadlines
  • Proactive communication skills and the ability to build strong relationships with clients and team members
  • Experience creating and maintaining efficient workflow systems and processes
