Job description

We are seeking a highly organized and detail-oriented Project Coordinator to join our dynamic team. In this role, you will work closely with the Project Manager, contractors, vendors, and other team members to ensure the smooth execution of projects from start to finish. You will be instrumental in maintaining communication between stakeholders, managing project timelines, and ensuring all project milestones are met.

What you will be doing:

  1. Assist in the planning and execution of projects, ensuring all tasks are completed on schedule and within budget.
  2. Plan all project timelines, milestones and requirements using the appropriate methods and software tools.
  3. Coordinate project life cycle, from the initial planning, bidding, operations, up to project completion.
  4. Communicate effectively with project stakeholders, including clients, contractors, and vendors, to ensure clarity and resolve any issues that arise.
  5. Track and maintain project documentation, including contracts, change orders, and project schedules.
  6. Help manage procurement processes, including ordered materials and ensuring deliveries align with the project timeline.
  7. Monitor project progress and report updates to the Project Manager, identifying any potential delays or issues.
  8. Ensure compliance with safety standards and local regulations throughout the duration of the project.
  9. Support the Project Manager in budgeting and cost control, tracking expenses, and ensuring adherence to financial plans.
  10. Review shop drawings to ensure compliance and understanding of client’s expectations and enter into Procore.
  11. Create and maintain project documentation and plans and reports.
  12. Read blueprints in order to estimate further project costs effectively.
  13. Assist in day-to-day tasks both in the office and in the field.
  14. Support implementation of process improvement initiatives.
  15. Assist in job costing for both Project side and Small Projects & Service.
  16. Support the Small Projects & Service Manager in tracking and maintaining budget, and cost allocation.
  17. Prepare and draft maintenance plans and other documentation as needed for Small Projects & Service Manager.
  18. Schedule small projects and service team as per direction of Small Projects & Service Manager.
  19. Can initiate small projects & service billing for approvals.
  20. Ensure completion of T&M and change orders for Small Projects & Service.

What you will need to bring to the table:

  1. Bachelor’s degree in construction management, Electrical Engineering, or a related field (preferred).
  2. Proven experience (2+ years) in project coordination or construction administration.
  3. Strong organizational, communication, and multitasking skills.
  4. Ability to work well under pressure and handle multiple tasks simultaneously.
  5. Proficiency in project management software and Microsoft Office Suite.
  6. Knowledge of construction processes, safety protocols, and industry standards.
  7. Ability to read and interpret blueprints.
  8. Working towards your PMP is considered an asset but not required.
  9. Valid Class 5 Driver’s License.
