Job Summary:

The Project Assistant will be a part of the project team within the Strategy portfolio. This role will support priority projects across various portfolios at Kinark, including Strategy, Autism, and Lead Agency.

This is a temporary, full-time position with a contract length of 3 months.

Duties & Responsibilities (include but are not limited to):

The Project Assistant will provide support to the Project Managers. Responsibilities include:

  • Supporting the preparation of project documents such as dashboards, presentations in MS PowerPoint, business cases, and executive reports.
  • Taking minutes and summarizing action items to distribute to stakeholders.
  • Following up with stakeholders on project timelines, due dates, and outstanding action items.
  • Maintaining project management tools like Asana to keep projects current.
  • Scheduling meetings, sending invites, and booking rooms for in-person meetings.
Qualifications:
  • High School Diploma or Post-Secondary Degree.
  • No experience required; up to 1 year of project-related experience is an asset.
  • Strong proficiency in Microsoft Office Suite (PowerPoint, Word, Excel).
  • Familiarity with project management tools such as Asana, Trello, or Monday.com.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Basic understanding of the project lifecycle and reporting.
  • Experience in taking meeting minutes and tracking action items.
  • Professional and courteous interpersonal skills for stakeholder communication.
  • Proactive attitude with a willingness to learn and take initiative.
  • Ability to work independently and as part of a team.
  • Experience with scheduling tools like Outlook or Google Calendar.
  • Previous administrative or coordination experience is an asset but not required.
