Job summary

Bird Construction seeks a Project Assistant based in Edmonton, AB to support project administration, document control and stakeholder communications. You will assist with documents, contracts, and logs while coordinating with owners, consultants and trades to ensure timely and accurate information flow.

Qualifications

  • Minimum 3 years of administrative experience required.
  • Experience in construction industry considered an asset.
  • Experience tracking documentation in a database (Procore, Bluebeam, SharePoint, Viewpoint).
  • Strong MS Word, Excel and PowerPoint skills.
  • Ability to learn and adapt to changing systems and procedures.
  • Detail oriented, proactive team player with strong communication.

Responsibilities

  • Assist with project documents in a timely manner and maintain tracking logs.
  • Generate and manage review and issuance of Subcontract Agreements; follow up with trades for documentation; verify Bonds and Certificates of Insurance.
  • Process all change management documentation in applicable systems with accuracy.
  • Maintain organized project files per the Project File Structure.
  • Attend meetings and record and distribute minutes.
  • Coordinate information submitted by owner, consultants, trades and suppliers.
  • Assist with O&M Manuals at closeout.
  • Support project team to minimize tasks and ensure correct document control.
  • Maintain effective communication with stakeholders to keep everyone informed.
  • Collaborate with team to identify and support cost-effective project delivery.

Job description

The Project Assistant is accountable for assisting with documentations, day-to-day activities, project administration duties and helping to minimize the task work done by the Project Manager, Project Coordinator, Estimator and Superintendent.

This position is based in Edmonton, AB. Positions may be site based as required.

What You Will Be Working On
  • Assist with project related documents in a timely manner and maintain up-to-date and accurate tracking logs.
  • Generate and manage the review and issuance of Subcontract Agreements ensuring all relevant documentation is provided and meets Bird’s requirements; follow up with trades to obtain all relevant contract documentation, review and ensure Bonds and Certificates of Insurance are accurate and meet Bird requirements.
  • Process all change management documentation in applicable systems, always ensuring accuracy.
  • Maintain organized project files in accordance with company’s Project File Structure.
  • Attend meetings and record and distribute minutes of meeting.
  • Expedite or coordinate information submitted by owner, consultants, trades, and suppliers.
  • Assist with Operations and Maintenance (O&M) Manuals at closeout.
  • Assist project team members by taking initiative to minimize and complete tasks and ensure accurate document control practices and procedures are followed.
  • Maintain effective communications to ensure all stakeholders are informed and up to date
  • Partner with project team members and other stakeholders to identify, develop, implement, and support cost-effective project delivery.
What We Are Looking For
  • Minimum 3 years’ administrative experience
  • Previous construction experience considered an asset
  • Experience with tracking documentation in a database, such as Procore, Bluebeam, SharePoint, or Viewpoint
  • Superior computer skills in Microsoft Office Word, Excel, and Power Point
  • Ability to learn and adapt to changing systems, technology, and procedures
  • Confident, detail orientated, enthusiastic and positive team player
  • Superior interpersonal, organizational, and analytical skills
  • Flexible and able to manage multiple priorities simultaneously; meet the time demands of unpredictable activities; capable of handling pressure and challenges in a dynamic business environment
