Job summary

Bird is seeking a Site Administrator to support a remote project site located six hours north of Sudbury in Kipling, Ontario. You will coordinate correspondence, reports, onboarding, payroll-related records, travel logistics and site documentation, ensuring accuracy and confidentiality.

In this role, you will act as the main contact for site employees and vendors, maintain files, prepare meeting materials, and assist with accounts payable and procurement activities as needed.

Qualifications

  • Post-secondary education in Business Administration, Office Administration or a related discipline is preferred.
  • Approximately 2-5 years of administrative experience, ideally within construction, engineering, industrial or project-based environments.
  • Previous experience supporting a site-based project team, workforce administration, payroll or accounts payable is an asset.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines.
  • Strong written and verbal communication skills and a professional, service-oriented approach.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel and Teams; experience with SharePoint or construction management systems is an asset.
  • Ability to exercise sound judgment, maintain confidentiality and work independently in a fast-paced environment.
  • Willingness and ability to work at the project site and accommodate project schedules as required.

  • Maintain confidentiality when handling employee, commercial and project information.
  • Act as a key point of contact for site employees, visitors, vendors and internal departments, directing questions to the appropriate team member.
  • Support project reporting, safety administration, document control and other duties required for effective site operations.
