Job summary

Inline Group Inc. is seeking a Project Administrator in Acheson, AB to support project operations from initiation through completion. You will process LEMs, track field services, handle invoicing and assist with project setup after contracts are awarded.

Qualifications

  • 2–3 years of experience as a Project Administrator or Project Coordinator.
  • Proficiency in Labour, Equipment and Materials (LEM) and invoicing processes.
  • Experience with Aimsio software is an asset.
  • Budget tracking experience.
  • Familiarity with contract management.
  • Background in Civil Engineering or Construction is an asset.
  • Strong organizational and communication skills.
  • Proficiency in Word, Excel and Outlook.
  • Knowledge of file management and general administrative procedures.
  • Ability to meet tight deadlines.

Responsibilities

  • Process and generate daily LEMs from timesheet information for client timelines.
  • Maintain client communications for LEM signoffs and invoicing cycles.
  • Prepare and submit monthly invoices and manage project budgets.
  • Coordinate with PMs, field teams and vendors to schedule fleet maintenance and field tasks.
  • Assist with project setup after contract award and with safety statistics documentation.

Job description

We have an immediate opportunity for a Project Administrator to join our team in Acheson, AB!

This role offers the chance to work alongside an exceptional management team in a collaborative, supportive, and fast-paced environment where your contributions make a direct impact on project success.

As a Project Administrator, you will play a key role in supporting project operations by ensuring the timely submission and receipt of project LEMs, accurately tracking field services, processing project invoicing through AIMSIO, and assisting with project setup following contract award. The successful candidate will be highly organized, detail-oriented, and capable of managing multiple priorities while maintaining accuracy and efficiency. They will bring a positive attitude, strong logical reasoning skills, and a proactive approach to problem-solving, helping to ensure projects are delivered smoothly from initiation to completion.

Responsibilities
  • Actively going through timesheet information and generating daily LEMs for client timeline submittals.
  • Following through with client contacts on daily, weekly and month end LEM signage.
  • Prepare and submit monthly invoices.
  • Maintaining positive communication with client representatives.
  • Work alongside and regularly communicates with project managers, project supervisors and field teams, helping achieve project success.
  • Assist the PM in safety statistics and field documentation signoffs.
  • Assist the PMs, Equipment Coordinator and field team in scheduling fleet maintenance and equipment calibrations.
  • Assist the Project Managers and Field Supervisors with any other general project administrative requirements.
  • Tracking of project budgets and requesting PO/ contract amendments.
  • Coordinating employee mobilization to job sites, including booking camp accommodations and arranging flights.
Skills & Competencies
  • 2-3 years of experience as a Project Administrator or Project Coordinator is required.
  • Proficiency in LEM (Labour, Equipment, and Materials) and invoicing processes.
  • Experience with Aimsio software is an asset.
  • Proven experience in budget tracking.
  • Familiarity with contract management.
  • Background in Civil Engineering or Construction is considered an asset.
  • Strong organizational skills.
  • Excellent communication abilities.
  • Proficiency in Microsoft applications, including Word, Excel, and Outlook.
  • Knowledge of file management, transcription, and general administrative procedures.
  • Ability to meet tight deadlines.
