Job summary

WESTERN UNIVERSITY's H.A. Leeper Speech and Hearing Clinic seeks a Program Assistant to provide customer service, administrative, record management, reporting and billing support within the busy clinical setting.

You will collaborate with audiologists, speech-language pathologists, and graduate students to ensure timely delivery of services and accurate documentation, while maintaining confidentiality and professional standards.

Qualifications

  • 3-year Community College Communicative Disorder Assistant diploma preferred
  • 3 years’ experience providing administrative support in a health care/clinic setting
  • Experience delivering excellent customer service and supporting clinical programs

Responsibilities

  • Provide customer service, administrative, record management, reporting and billing support
  • Serve as liaison among clients and clinical staff to ensure timely delivery of care
  • Support multiple clinic programs including SLP and Audiology services and infant hearing initiatives
  • First point of contact for clients; assist with scheduling, intake, and documentation
  • Collaborate with allied health professionals to maintain confidentiality and professional standards

About Us

The Faculty of Health Sciences ((FHS) is a large, diverse, and comprehensive unit, comprised of six Schools (Nursing, Kinesiology, Health Studies, Physica l Therapy, Occupational Therapy and Communication Sciences and Disorders), a large Interdisciplinary Graduate Program in Health and Rehabilitation Sciences and four Research Centres. The Faculty has more than 3,200 undergraduate students and more than 800 graduate students (200 PhD students).

Under the umbrella of Western University’s Faculty of Health Sciences and the School of Communication Sciences and Disorders (CSD), the H.A. Leeper Speech and Hearing Clinic (Clinic) provides speech, language and audiology services to people in the community, including ministry funded Preschool Speech and Language Initiative (tykeTALK program) and the Ontario Infant hearing Program (IHP). SLP and Audiology students can be involved in the these SLP and audiology programs to gain clinical education.

Responsibilities

Working within the H.A. Leeper Speech and Hearing Clinic, the Program Assistant provides customer service, administrative, record management, reporting, and billing support. The Program Assistant serves as a liaison among clients, and works closely with clinical Audiologists, clinical Speech-Language Pathologists, Communicative Disorder Assistants, graduate students, and allied care providers to ensure timely delivery of care and exceptional services.

The Program Assistant provides efficient support to all clinical programs under the School of Communication Sciences and Disorders including Fee for Service Speech; Audiology Services, the tykeTALK Preschool Speech and Language program and the Infant Hearing Program (IHP).

The Program Assistant acts as the first point of contact for clients receiving services at the clinic. The position primarily supports the Audiology and Infant Hearing Programs, while also providing regular support to the Speech Fee for Service and tykeTALK programs. The Program Assistant also works collaboratively with allied health professionals (i.e., SLPs and Audiologists) at the clinic and at Thames Valley Children’s Centre.

Qualifications

Education:

  • 3 year Community College Communicative Disorder Assistant (CDA) diploma from a Canadian recognized program (with the practicum completed in an audiology-related service) is preferred

Experience:

  • 3 years’ experience providing administrative support and customer service in a health care/clinic setting
  • Experience providingexcellent customer service directly and indirectly to satisfy expectations
  • Experience working in health related clinic preferred

Knowledge, Skills & Abilities:

  • Excellent communication skills with a demonstrated ability to complete detailed analytics and reports
  • Intermediate computer skills in Microsoft Office to assist with spreadsheet design, word processing and electronic database management; Familiarity with financial software used in a clinical setting preferred
  • Excellent verbal and written communication skills with demonstrated proficiency in medical terminology
  • Exceptional organizational skills and the ability to manage activities both for self and others effectively
  • Professional manner, tact, confidentiality, and discretion in dealing with the public and all level of the University’s organization
  • Able to build and maintain lasting relationships with clients, peers, other Departments/Schools, key business partners and external agencies
  • Creative problem-solving skills and sound professional judgment, especially regarding confidential/sensitive matters
  • Ability to work in a fast-paced environment, meeting tight deadlines and adapting to growth and to change
  • Ability to work independently and effectively as a team member to achieve goals and to improve clinic services
  • Ability to work well under pressure and to use good judgment in assessing difficult situations
  • Ability to establish and to build health working relations and partnerships with clients and clinical staff
