Job description

As the People and Culture (P&C) Coordinator, you are responsible for supporting the employee life cycle, including supporting administration, coordination of onboarding of new hires, transfers, departures, payroll and partnering with other team members and departments to ensure that we are providing a fulfilled people experience to our talent. Reporting to the People Business Partner, you will represent the media agencies that you are supporting as well as the People Team internally and externally, exemplifying our values in all interactions.

Your Impact:

As part of the People Operations team, you are a valued member of the larger People & Culture Team and you will be the main point of contact for general employee questions regarding company policy and procedures related to Human Resources and Talent, while also directing employees to the appropriate teams if needed. The P&C Coordinator will act as an ambassador to employees and business leads across GroupM and its operating agencies by engaging in projects, programs and initiatives.

What You will be Doing:
Onboarding
  1. Oversee the onboarding process for all new hires including conducting HR Orientations, enrolling employees onto various systems, administrating surveys and reporting data.
  2. Respond to new hire inquiries promptly, efficiently and accurately to ensure a positive onboarding experience.
  3. Liaise with hiring managers to coordinate first day details.
Offboarding
  1. Supporting the offboarding of exiting employees.
  2. Conduct, collect and analyze data via Exit Interviews to provide recommendations to the HRBP’s and People Team for retention strategies.
Payroll Administration
  1. Coordination of payroll summary reports on a semi-monthly cadence.
  2. Maintain HRIS (ADP Workforce Now) with up-to-date employee data to ensure accurate payroll processing and data integrity.
  3. Calculate staff entitlements surrounding medical leaves, vacation accrual, etc.
People Data & Reporting
  1. Create, collate, update and utilize HR metrics to analyze trends and data.
  2. Update, maintain and present reports with KPIs such as attrition rates, vacation usage and hires by client group/department.
  3. Assist with ad-hoc projects on as-need basis.
Policy Interpretation & Application
  1. Maintain knowledge of HR policies and ON/QC Provincial employment legislation/regulatory changes.
  2. Respond and handle all employee inquiries regarding benefits, leave of absences, paid time off, etc., with the utmost confidentiality.
  3. Support the HRBP’s in the Performance Review process ensuring timely adherence to policy and deadlines is met by managers.
What You Bring:
  1. University Diploma or Certificate in Human Resources or any related field.
  2. Less than 1 year of experience within Human Resources, Recruitment and/or related field.
  3. Strong client service skills.
  4. Ability to work successfully within a team as well as independently.
  5. Establish and maintain relationships interdepartmentally as well as with those outside the team.
  6. You have great teamwork skills and are excited about collaborating with others to create a positive impact.
  7. Ability to multitask and work in a fast-paced environment.
  8. You are results-oriented and have a demonstrated ability to handle multiple competing priorities.
  9. Comfortable with change and managing tight deadlines.
  10. Extremely well-organized with a high level of attention to detail.
  11. Strong written and verbal communication skills in both English and French.
  12. Proficiency using Microsoft Office Suite applications (Word, Excel, PowerPoint & SharePoint).
  13. Comfort level with learning new systems and exploring new technology.
  14. Experience working with HRIS/ADP Workforce Now is an asset.
