Job summary

Casey House is seeking a People & Culture Coordinator to support the P&C team with administrative excellence in a hybrid Toronto setting. This full-time, 18‑month contract is 37.5 hours per week with a minimum on-site requirement of 3 days.

You will maintain confidential files, assist with policy updates, coordinate HR processes, support employee engagement, and drive improvements to HR systems while upholding equity and accessibility.

Qualifications

Job description

Role: People & Culture Coordinator
Status: Full-Time, Contract (18 months)
Hours: 37.5 hours/ week, Monday to Friday. This is an hybrid position, with a minimum on-site requirement of 3 days / week. On site requirements may vary over the course of the year.
Reporting to: Director, People & Culture
Compensation: $48,750 to $58,500, plus 6% pay in lieu of vacation, and % pay in lieu of benefits

About the Opportunity

The People & Culture Coordinator provides operational and administrative support to the People & Culture team. They enable smooth day-to-day functioning of the department through administrative excellence and responsive service to employees and leaders across Casey House.

In addition to core administrative responsibilities, the Coordinator contributes to employee engagement initiatives, supports policy drafting, and carries out independent projects within the scope and direction set by the Director and Senior HR Consultants. As a trusted partner and liaison for employees and leaders, they ensure high-quality service delivery, coordinate & implement operational HR processes, and contribute to continuous improvements to systems, data, and employee experiences. A commitment to equity, cultural safety, and anti-racism is essential in this role, ensuring that all HR practices, policies, and decision-making frameworks are inclusive, accessible, and responsive to the diverse needs and lived experiences of all employees.

Responsibilities include, but are not limited to:
Human Resources Administration
  • Provide day-to-day administrative support to the Director, People & Culture and Sr. HR Consultants.
  • Prepare, format, and proofread HR documents, correspondence, presentations, and reports.
  • Maintain accurate and confidential employee files and departmental records in accordance with privacy requirements and organizational record-keeping practices.
  • Support the coordination of departmental workflows, including tracking deadlines, deliverables, and cyclical HR processes (e.g. probationary reviews, training renewals, policy-refresh cycles, etc).
  • Coordinate and develop policy refreshes, training materials, and P&C communications for organizational distribution.
  • Conduct preliminary research on legislation, best practices, and comparator policies to inform policy development.
  • Assist with the preparation of materials for recruitment, onboarding, labour relations, and learning & development activities as required.
People Engagement
  • Serve as a welcoming first point of contact for general employee inquiries, directing questions to the appropriate P&C team member and modeling compassionate, responsive communication.
  • Support the planning, logistics, and delivery of employee engagement activities, recognition initiatives, and organizational events.
  • Assist in administering engagement touchpoints (e.g., 90-day check-ins, exit interviews, surveys), including compiling summary data for the People & Culture team.
  • Contribute ideas and feedback to strengthen employee experience
Projects & Continuous Improvement
  • Undertake and independently manage assigned projects that contribute to the People & Culture portfolio, within the boundaries and scope established by the Director and Sr. HR Consultants.
  • Identify opportunities to streamline administrative processes and propose improvements to templates, trackers, and workflows.
  • Provide logistical and coordination support for departmental initiatives, including systems implementations, training events, etc.
About You
  • Post-secondary degree or diploma in Human Resources, Business, Education, or a related field.
  • 2 years of experience in human resources, program coordination, administration. Familiarity with unionized and/or healthcare environments is an asset.
  • Proficiency with HRIS, LMS, and other analytics tools (i.e. ADP, eTime, Excel)
  • General technological proficiency to support modernization of HR processes
  • Foundational knowledge with applicable employment legislation (e.g. the Employment Standards Act (ESA), the Labour Relations Act, the Accessibility for Ontarians with Disabilities Act, the Ontario Human Rights Code, the Ontario Pay Equity Act, the Occupational Health & Safety Act, etc.)
  • Excellent verbal, written, and interpersonal communication skills
  • Service-oriented mindset, with demonstrated sensitivity to individual concerns, and ability to balance compliance with people-centered approaches.
  • Strong sense of discretion and demonstrated ability to handle confidential information with professionalism and integrity.
  • Highly organized, with excellent time management skills and the ability to balance multiple concurrent priorities.
  • Curious, adaptable, and eager to learn; takes initiative within defined scope and seeks guidance appropriately.
  • Demonstrated commitment to and knowledge of principles of equity, anti-racism, cultural safety, and accessibility, in the delivery of human resources initiatives and programs.
