Key Responsibilities:
Operations :
- Responsible for bi-weekly pay input to ADP
- Balancing RRSP/DPSP contributions with payroll reports
- Calculating and recording of wages/hours during leave
- Monitoring payroll charges and sending to accounting for recording
- Maintaining database with monitoring for vacation rate changes, benefits changes, employee files holiday programs, vacation policy assignments, payroll changes, etc.
- Data entry (new hires, information for pay)
- Employee commission calculations
- Managing and balancing vacation rollovers
- GL - Payroll journal entry/validation and accruals to prepare for accounting team
- Tracking payments (employees on leave, loans, fees and calculating taxable benefits)
- WCB boards - producing quarterly reports and sending accounting for payment, assisting in accident reporting for employees and forms/assistance for Ontario warehouses
- Overseeing quarterly group insurance audits to ensure employee contributions match invoicing
- Year end – WCB summaries, EHT summaries, CNESST declarations, T4s and RL-1s, RL-1 summaries, T2200 and all relevant verifications and balancing
- Participation in yearly negotiations of group insurance plan
- Staying abreast current and upcoming regulations
- Assisting with various tasks (Accounts Receivable and Payable; HR)
- Collaborating with HR
Communication:
- Replying to day-to-day inquiries from employees (vacation pay, estimates for group insurance premium etc.), assist supervisors (timecards, vacation balances, punch clocks, etc.) and direct employees to self-service options as appropriate
- Providing employees on leave amounts to be paid and ensuring payments
- Advise insurance broker of salary increases
- Responsible for all communications regarding RRSP/DPSP between employee/RBC
- Handle all RRSP/DPSP enrollments, terminations, communications with employees (send forms and follow up)
- Develop and implement procedures related to payroll
Main Requirements:
- Minimum 5 years’ experience with ADP/WFN
- Knowledge of basic accounting journal entries
- Knowledge of payroll legislation in various provinces
- Member of Canadian Payroll Association - asset
- Knowledge of SAGE - asset
- Proficiency with computers is a must, advanced knowledge of Excel
- Solid communication skills: Bilingualism (French and English: oral and written)
- Strong organization skills and detailed oriented
- Ability to prioritize time effectively
- Must be a pro-active and solutions-focused team player
- Excellent problem-solving skills
