Job description

ONxpress Transportation Partners (ONxpress) was chosen by Metrolinx and Infrastructure Ontario (IO) to enter the Development Phase of the On-Corridor Works project – the largest project in Metrolinx’s GO Expansion. Unprecedented in its scale and complexity, this multi-billion-dollar capital program will transform the GO regional rail network with electrification, more frequent service, shorter journey times and a more modernized system for the Greater Toronto and Hamilton Area.

Location- Hybrid work model. Must be willing to work in our downtown Toronto office 2-3 days per week.

The Payroll Specialist will play a key role in a dynamic and committed team, where everyone's contribution has a direct impact on the success of the company. This role reports to the Payroll Manager. You will be responsible for processing and maintaining the bi-weekly unionized payroll as well as assist with the non-union salary payroll. You will be expected to prepare reports, prepare remittances, process all hours of work and related time records, maintaining payroll records and calculating payroll in an accurate and timely manner in a rapidly changing environment.

Responsibilities

What You Will Be doing:

  • Contribute to and assist with User Acceptance Testing (UAT) of the unionized payroll.
  • Processing end-to-end payroll for high volume biweekly unionized payroll (approx. 700-1100 + employees) according to their collective agreement ensuring accurate and timely processing of employee wages, deductions, and tax compliance. Includes timesheet balancing, monitoring interface files between time & labour system into Oracle HCM.
  • Ensure new hires and terminations have been accurately entered by our People Group.
  • Prepare final payments for terminated employees.
  • Responsible for entering employee banking and TD1 (Federal & Ontario) amounts into Oracle HCM system.
  • Maintain up-to-date knowledge of current CBA, payroll regulations, tax laws and employment legislation.
  • Responsible for the preparation of remittances according to payment and reporting deadlines (CRA statutory deductions, EHT and WSIB).
  • Participating in and providing information and supporting documentation for payroll audits.
  • Prepare union remittances and required reporting.
  • Prepare ad-hoc reporting as required by internal and external stakeholders.
  • Respond to employee inquiries in a professional and timely manner.
  • Enter payroll related payables into Oracle.
  • Maintain and update SOPs.
  • Assist with Year End (T4’s, T2200, etc.) preparation including filing and completing annual returns for WSIB and EHT.
Qualifications

What we are looking for:

  • PCP (Payroll Compliance Professional) certification with the National Payroll institute is required.
  • Prior involvement in UAT and system testing is an asset.
  • Experience with Oracle HCM is preferred.
  • Proficient understanding of diverse time and attendance systems and programs.
  • Experience in a unionized environment is preferred.
  • Strong ability to think critically and analyze payroll results ensuring accuracy. Troubleshoot and correct errors.
  • Be able to multi-task and prioritize workload.
  • Ability to work as a team member, as well as independently. Ability to develop and maintain relationships with all internal/external stakeholders.
  • Adaptable to change in a fast-paced environment, being able to meet deadlines.
  • Solid understanding of taxable benefits including retirement savings plan, health benefits and allowances.
  • Experience processing payroll in the transportation industry an asset.
  • Basic understanding of general accounting principles.
  • Post-secondary education with a focus on Business Administration, Accounting, or a combination of education, training and industry experience deemed equivalent.
  • 3+ years in a payroll specialist role for a unionized workforce.
  • Excellent analytical, problem solving/judgement skills and high level of attention to detail and accuracy.
  • Strong organization skills and the ability to work under pressure.
  • Excellent communication and interpersonal skills.
  • Strong skills using and understanding the flow of transactions in an integrated and automated in-house payroll system.
  • Ability to maintain confidentiality and exercise extreme discretion.
  • Ability to handle and prioritize multiple tasks and meet all deadlines.
  • Ability to work collaboratively with a ‘can-do’ attitude.
