About the Opportunity

Our client, a well-established manufacturer of health and wellness products located on the Oakville/Mississauga border, is currently seeking a Payroll & Benefits Administrator to join their growing team on a full-time, hybrid basis. This role offers the opportunity to contribute to a purpose-driven company while enjoying the flexibility of working on-site three days a week and remotely for the remainder.

Position Overview: Payroll & Benefits Administrator

Key Responsibilities

Payroll Analytics & Strategic Reporting

  • Lead year-end payroll reconciliation processes and ensure timely submission of compliance documentation such as Canadian T4 slips, U.S. W-2 forms, and ACA reports.
  • Support the preparation and remittance of statutory contributions across multiple jurisdictions, including WSIB, EHT, CPP, EI, NYSIF, RRSPs, and 401(k) programs.
  • Develop and maintain financial reporting dashboards that track payroll expenditures and benefits costs on a monthly, quarterly, and annual basis.
  • Analyze payroll trends and benefit utilization patterns, providing meaningful insights on compensation structures, employee retention, and market benchmarking.
  • Present leadership teams with concise, data-driven reports and KPIs to guide strategic workforce planning and cost control decisions.
  • Continuously assess payroll and benefits data to highlight potential inefficiencies, ensuring compliance and recommending process enhancements where necessary.

Payroll Operations & Employee Records Management

  • Administer the full cycle of payroll data entry, including new employee onboarding, salary changes, transfers, vacation tracking, and leave management (e.g., maternity, disability, and unpaid leaves).
  • Maintain highly organized and confidential payroll records and employee files in compliance with company policies and federal/provincial legislation.
  • Serve as a key contact for employee payroll inquiries, offering prompt resolution for issues related to compensation discrepancies, benefit deductions, overtime, and retroactive pay.
  • Prepare and submit required payroll documents, such as T4s, Records of Employment (ROEs), and other wage-related filings to the Canada Revenue Agency (CRA) and relevant regulatory bodies.

What We’re Looking For

  • Post-secondary education in Payroll, Human Resources, Accounting, Business Administration, or a related field.
  • Up to three years of Canadian payroll experience, preferably within a consumer-packaged goods (CPG) or manufacturing setting.
  • Experience or willingness to be trained in U.S. and international payroll practices (via third-party vendors) is a plus.
  • Progress toward, or completion of, recognized certifications such as Canadian Payroll Association (CPA) or CHRP is considered a strong asset.
  • Minimum of two years' experience with payroll systems, with preference for proficiency in Ceridian Dayforce or other leading HRIS/payroll platforms.
  • Advanced Excel skills, including working knowledge of Pivot Tables, VLOOKUPs, and complex formulas for data analysis.
  • Strong analytical and critical-thinking skills, with a solutions-focused mindset and high attention to detail.
  • Solid understanding of benefits administration and familiarity with Canadian employment standards and compliance regulations.
