Position Summary: The Payroll and T&E Administrator manages and oversees all aspects of payroll and travel/expense processing. Ensuring employees are paid accurately and on time, in compliance with all applicable laws and company policies. Demonstrating strong analytical skills, a deep understanding of payroll and T&E systems, and a commitment to confidentiality and accuracy.

Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform the following satisfactorily (other duties may be assigned). Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Process bi-weekly/weekly payroll for employees across multiple locations.
  • Process travel and expense reports/entries.
  • Prepare/upload 401K and FSA/HSA contributions to providers.
  • Maintain and update payroll records, including new hires, terminations, and changes in pay or benefits.
  • Maintain and update T&E coding as needed due to new hires, terminations, and changes in department, entity, or other information as needed.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Ensure proper expense support for reimbursement.
  • Reconcile payroll prior to transmission and validate confirmed reports.
  • Prepare and distribute payroll reports to Treasury, Finance and HR departments.
  • Prepare reconciliation of T&E expenses and ensure data is entered into the appropriate ERP.
  • Respond to employee inquiries regarding payroll/T&E issues or concerns.
  • Coordinate with HR and Finance teams to ensure accurate benefit deductions and tax withholdings.
  • Assist with year-end processes including W-2s, 1099s, 1094-C, 1095-C and other tax filings.
  • Reconcile PTO, FSA/HSA and 401K deductions, usage and submissions.
  • Assists with audits, banking, treasury, and year end processes as requested.
  • Performs other accounting duties as assigned by the Director of Shared Services.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience:

Associate's degree or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience. Two plus years of experience in payroll/T&E administration. Strong knowledge of payroll regulations and tax laws (401k, T&E FSA/HSA).

Language Ability:

Read and comprehend simple instructions, short correspondence and memos. Write simple correspondence. Effectively present information in one-on-one and small group situations to customers, clients and other employees. Working knowledge of/Fluency in the English language (spoken and written).

Mathematical Ability:

Add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Compute rate, ratio and percent, and draw and interpret bar graphs.

Reasoning Ability:

Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:

To perform this job successfully, an individual should have knowledge and excellent proficiency in payroll software (e.g. Insperity, ADP, Paychex, Workday, etc.).

Certificates and Licenses: None required. Payroll certification (CPP) a plus.

  • Position is considered remote and will be performed work-from-home or in a self-provided space. Position hybrid if an existing Company site is near enough for employee commute.
