As a Benefits and Leave Administrator, this role assists the Human Resources Department by managing and administering employee benefits and leave programs, ensuring compliance with applicable laws and regulations, and offering support to employees concerning their benefits.

The successful candidate will report directly to the VP of Payroll & Benefits. The position location is flexible.

Alaska, California, Colorado, Delaware, Hawaii, Idaho, Maine, Montana, Nevada, New Hampshire, New York, North Dakota, Rhode Island, South Dakota, Vermont, Washington, Wyoming; residents are not eligible.

Responsibilities
  • Coordinate the open enrollment periods, including scheduling, communication, and vendor set up in system with plan changes
  • Assist with developing and distributing materials that communicate benefit options, changes, and important dates to employees, ensuring they are well-informed about their benefits
  • Provide continuous support to employees with their benefits-related questions and issues, assisting with claims and resolving any coverage problems
  • Manage the Wellness Program communications and Champions group
  • Vendor Management: Coordinate with benefits providers and vendors to ensure smooth operations and resolve any issues related to benefits.
  • Administers Workers’ Compensation process (reporting incidents/accidents, post-accident drug testing)
  • Manage benefits monthly eligibility files for Wellness, Telehealth, Voluntary plans
  • Monitors the Safety requirement for the entire organization to make sure compliant for (TB & Hep B Tracking)
  • Conduct the annual OSHA 300 Reporting for the entire organization
  • Engages as a trusted partner and subject matter expert with employees and managers requests for family medical (FMLA) and State-specific leave, requests for reasonable accommodation (ADA)
  • Serves as main point of contact for leave of absence issues related to FMLA, ADA and State-specific related leaves with Third Party Vendor
  • Responsible for ensuring all communications regarding approvals, denials, return to work and other important information to team members, managers and Human Resources management are delivered.
  • Provides leave of absence guidance and direction to employees and Managers
  • Manage Benefits invoices processes for approval
  • Always maintains a high degree of confidentiality due to access to sensitive information.
  • Maintains regular, predictable, consistent attendance and is flexible to meet the needs of the department.
  • Follows all Medicare, Medicaid, HIPAA, and Private Insurance regulations and requirements.
  • Abides by all regulations, policies, procedures and standards.
Qualifications
  • High school diploma or (GED) equivalent with two or more years of experience in benefits administration and FMLA and Leave experience or equivalent combination of education and experience.
  • Proficient with various Microsoft Office software such as Outlook, Word, Excel, Vizio and PowerPoint
  • Demonstrated ability to read and interpret documents such as governmental regulations and procedure manuals.
  • Strong communication and organizational skills are essential.
  • Ability to make decisions in accordance with laws, regulations, and established policies.
  • Ability to deal tactfully and courteously with employees at all levels.
  • Strong attention to detail
  • Previous experience with ADP or other enterprise HRIS systems required
