Blake, Cassels & Graydon LLP (Blakes) in Toronto is seeking a Payroll Administrator to join the Finance department. The role focuses on preparing and reviewing payrolls and ensuring payroll system integrity on a global level.

The ideal candidate has a payroll or related diploma, at least three years’ experience, and PCP certification (or in progress). Proficiency with UKG Kronos is essential, with strong confidentiality and communication skills.

Qualifications

  • Diploma in payroll, accounting, or business-related field preferred.
  • Minimum of three years of payroll experience required; legal institution experience is an asset.
  • Certified by National Payroll Institute (formerly Canadian Payroll Association) as a PCP or in the process of obtaining certification is required.

Responsibilities

  • Assist with preparation and review of payrolls using UKG Kronos across multi-provincial standards.
  • Verify payroll integrity and accuracy against reports.
  • Input payroll data into UKG and balance payrolls; process Canada/U.K./U.S. payrolls as needed.
  • Finalize payroll processes after balancing and loading direct deposits; issue manual cheques when required.
  • Prepare payments to Canada Revenue Agency and remit EHT monthly.
  • Complete Records of Employment and monthly journal entries; respond to employee inquiries.
  • Assist with annual compensation, pension, and RRSP contributions.

Overview

Blake, Cassels & Graydon LLP (Blakes), one of Canada’s largest and most successful law firms, has an immediate opening for a Payroll Administrator to join the Finance department in the Toronto office. Reporting to the Payroll Manager, the Payroll Administrator will play a key role in the preparation and review of payrolls and in verifying the integrity of the payroll system on a global level.

Responsibilities
  • Assisting with the preparation and review of firm payrolls using UKG Kronos (formerly Ultimate Software) applying knowledge of multi-provincial labour standards
  • Verifying the integrity of the payroll, which consists of ensuring accuracy of payroll input and verifying output against various reports
  • Running of imports into payroll software and balancing
  • Inputting information into UKG that is payroll related (direct deposits and exception pay details)
  • Assisting with processing of U.K. and U.S. Payrolls for staff on a bi-weekly and monthly basis
  • Finalizing payroll processes after balancing and loading direct deposits
  • Issuing and verifying manual cheques when required
  • Preparing Canada Customs and Revenue Agency Payments
  • Reconciling and remitting payment for EHT monthly
  • Completing Record of Employments
  • Preparing reports for client charges
  • Completing monthly journal entries
  • Responding to employee inquiries
  • Assisting with annual compensation
  • Assisting with contributions of Pension and RRSP
  • Calculating termination/severance payments as required, keeping in mind legislative requirements
Education & Experience

Diploma in payroll, accounting, or business-related field is preferred

Minimum of three years of payroll experience is required; legal institution experience would be an asset

Certified by National Payroll Institute (formerly Canadian Payroll Association) as a PCP or in the process of obtaining certification is required.

Skills & Abilities

Strong verbal and written communication skills

Ability to multi-task, respond to ad hoc questions and interruptions while meeting deadlines

Must have ability to maintain confidentiality and practice discretion in interactions and dealings with others

Works well both independently while at the same time collaboratively with internal clients

Strong computer skills – MS Windows, Excel and Word

Ability to handle complex problems and sensitive issues across all offices, such as new hire/termination requirements, special payments and discussions with staff regarding understanding their pay

Willingness to research issues that arise, such as adjustments to pays, pension contribution and taxable benefits

Compensation

The anticipated annual salary for the Payroll Administrator position is $65,000 - $80,000. Salary levels will be determined commensurate with internal equity, market equity and experience.
