Job summary

Xanadu is hiring a Payroll Administrator in Canada to manage Canadian payroll processing, compliance, and data management using ADP Workforce Now. You will ensure accuracy, maintain confidentiality, and address payroll inquiries from employees and management.

The role requires 2–5 years of payroll experience, PCP designation or progression, and strong knowledge of CRA guidelines. Base salary ranges 80k–100k CAD with equity and benefits; bright career growth awaits.

Responsibilities

  • Process full-cycle payroll (semi-monthly) using ADP Workforce Now (WFN).
  • Ensure accurate calculation of wages, overtime, bonuses, commissions, and deductions.
  • Review and validate payroll reports prior to finalization.
  • Process off-cycle payments, including terminations, adjustments, and retroactive pay.
  • Prepare and reconcile payroll-related reports including T4s, ROEs, and year-end filings.
  • Maintain up-to-date knowledge of payroll laws and regulatory requirements.
  • Maintain and update employee records in ADP systems and respond to inquiries.

Your role and responsibilities

The Payroll Administrator is responsible for the accurate and timely processing of payroll using ADP Workforce Now (WFN) and related ADP systems. This role ensures compliance with applicable payroll legislation, company policies, and maintains confidentiality of employee information. The ideal candidate has strong attention to detail, extensive knowledge of Canadian payroll regulations, basic knowledge of US payroll regulations, and hands-on experience with ADP platforms.

Payroll Processing
  • Process full-cycle payroll (semi-monthly) using ADP Workforce Now (WFN).
  • Ensure accurate calculation of wages, overtime, bonuses, commissions, and deductions.
  • Review and validate payroll reports prior to finalization.
  • Process off-cycle payments, including terminations, adjustments, and retroactive pay.
Compliance & Reporting
  • Ensure compliance with federal and provincial payroll legislation (e.g., CRA regulations, Employment Standards).
  • Prepare and reconcile payroll-related reports including T4s, ROEs, and year-end filings.
  • Maintain up-to-date knowledge of payroll laws and regulatory requirements.
Employee Data Management
  • Maintain and update employee records in ADP systems (new hires, terminations, changes).
  • Collaborate with HR to ensure employee data accuracy.
  • Respond to payroll-related inquiries from employees and management.
Reconciliation & Audits
  • Perform regular payroll reconciliations (earnings, deductions, benefits).
  • Resolve discrepancies and ensure accuracy of payroll data.
  • Assist in internal and external payroll audits as required.
Benefits & Deductions Administration
  • Knowledge of benefits administration and reconciliation of Benefit Carrier invoices
  • Administer employee benefits, pension contributions, and other payroll deductions.
  • Coordinate with benefits providers to ensure accurate deductions and reporting.
System Administration
  • Utilize ADP Workforce Now (WFN) and other ADP modules for payroll processing and reporting.
  • Assist with system updates, testing, and implementation of enhancements if needed.
  • Generate custom reports as required by Finance or HR teams.
Basic qualifications and experience
  • Post-secondary education in Accounting, Finance, Business Administration, or related field.
  • Minimum 2–5 years of payroll processing experience.
  • Hands‑on experience with ADP Workforce Now (WFN) and/or other ADP payroll systems is required.
  • PCP (Payroll Compliance Practitioner) designation or working towards it is a requirement.
  • Strong knowledge of Canadian payroll legislation and taxation (CRA guidelines).
  • High level of accuracy and attention to detail.
  • Excellent organizational and time management skills.
  • Strong communication and customer service skills.
  • Proficiency in Microsoft Excel (pivot tables, VLOOKUPs preferred).

This is for a new position. Your base salary will be determined based on your location, experience, and internal benchmarks. The base salary range is 80,000 - 100,000 CAD. You will also be eligible for equity and benefits.
