Job summary

Battlefield Equipment Rentals, part of the Toromont Industries Ltd. family, seeks a Parts Coordinator in Barrie, ON. This contract/co-op role supports service teams, coordinates parts, prepares quotes, and manages work orders to keep equipment running and customers informed.

You will interact with customers, technicians, and internal teams, track warranty claims, and assist with daily branch operations, safety compliance, and on-site deliveries as needed.

Qualifications

• Proficiency in Microsoft Office (Outlook, Word, Excel) and familiarity with inventory/workflow systems.
• Experience with parts ordering, work orders, purchase orders, inventory and estimates.
• Excellent communication and customer service skills; able to manage multiple priorities and work in a team.

Responsibilities

• Provide exceptional customer service via phone, email, and in-person interactions.
• Serve as liaison between customers, technicians, and internal teams for clear communication and timely follow-up.
• Prepare repair/service quotes and manage work orders ensuring parts are allocated correctly.
• Order, track, and allocate parts to equipment and work orders; monitor outstanding parts orders.
• Run daily reports to support service and parts operations; process warranty claims and maintain records.

As a key member of the Service team, the Parts Coordinator plays a critical role in keeping equipment running, technicians supported, and customers informed while also contributing to daily branch operations.

What You'll Be Doing

• Deliver exceptional customer service through phone, email, and in-person interactions.
• Act as the primary liaison between customers, technicians, and internal teams to ensure clear communication and timely follow-up.
• Prepare and provide repair and service quotes.
• Create and manage work orders for internal and customer equipment ensuring parts are allocated accurately to the appropriate machines and jobs.
• Order, allocate, and track parts to the appropriate equipment and work orders as needed to support timely repairs.
• Monitor outstanding parts orders and follow up as required.
• Run daily reports to support service and parts operations.
• Submit and track warranty claims while maintaining accurate records within company systems.
• Monitor and maintain parts inventory, rental equipment, and saleable goods, including restocking shelves and updating tracking tools.
• Oversee the repair process from intake through completion, working cross-functional to support efficient service delivery.
• Provide administrative, invoicing, and warranty support ensuring pricing, information accuracy, and proper documentation.
• Facilitate customer walk-ins and calls, including sourcing equipment and supplies, coordinating deliveries, and securing transportation.
• Prepare and ensure all deliveries are organized for the following day.
• Assist with loading and unloading customer pick-ups and deliveries when required.
• Open and close the branch as needed and complete daily closing requirements, including invoice checks and fund balancing.
• Invoice parts orders and service orders as required.
• Work cross-functionally with other departments to ensure timely repairs and service delivery.
• Collaborate seamlessly with your colleagues to create a supportive and efficient work environment.
• Follow all workplace safety protocols and environmentally sound practices, making sure everyone stays safe.

What We're Looking For

• Computer Skills: Proficiency in Microsoft Office (Outlook, Word, and Excel.) Experience with Systematics would be an asset.
• Parts Knowledge: Familiarity with parts ordering, work orders, purchase orders, inventory and estimates.
• Customer Service Oriented: Excellent communication skills and a knack for making customers feel valued.
• Team Player: Ability to work effectively within a team environment with the ability to juggle multiple priorities.
• A Self-Starter: With a keen sense of time-Management and effective planning skills.
• Excellent organization and attention to detail.
• Experience working in a parts, service, or technician-support environment.
• A technical understanding of CAT equipment would be considered an asset.
• Flexibility to support on-call schedules, including occasional Saturdays.
