Job summary

GFL Environmental Inc. is seeking an organized Parts Administrator to maintain inventory accuracy, label and store parts, perform cycle counts and reconcile stock, and work with vendors to source parts and manage costs.

The role involves processing orders, quotes, warranty parts, and coordinating with the maintenance team to ensure timely deliveries and compliance with internal procedures.

Qualifications

  • Two (2) or more years of inventory control or parts management experience.
  • High School diploma or GED.
  • Valid Driver’s License.
  • Experience using internal purchasing systems is a plus.

Responsibilities

  • Manage inventory control system to ensure equipment and part levels are maintained and purchases stay within budget.
  • Receive and label inventory; keep inventory area well maintained and organized.
  • Perform physical counts including cycle counts and reconcile actual stock counts.
  • Maintain aged inventory, collections and returns.
  • Order parts and materials through the internal system.
  • Interact with vendors to evaluate price, availability, and service on new products.
  • Obtain quotes for purchases.
  • Handle warranty parts, process and documents.
  • Process vendor repairs, purchase orders, and invoices; identify solutions and resolve disputes.

Job description

Key Responsibilities
  • Manage inventory control system to ensure necessary equipment and part levels are maintained and purchases are within budget
  • Receive and label inventory appropriately; ensure inventory area is well maintained and organized systematically and physically
  • Perform physical count of inventory including cycle counts and reconcile actual stock count
  • Maintain all aged inventory, collections and returns
  • Perform monthly, quarterly, and annual audits
  • Order parts and materials through Company internal system
  • Meet with vendors to evaluate price, availability, and services offered on new products
  • Obtain quotes for purchases
  • Handle warranty parts, process, and documents
  • Process all vendor repair orders, purchase orders, and invoices; identify solutions, investigate disputes, and process corrections
  • Expedite parts and services as needed to support production
  • Ensure products received are in accordance with purchase order specifications
  • Adhere to company standards, policies, and procedures
  • Comply with Environmental compliance, energy savings, and recycling Requirements:
  • Recommends to Maintenance Manager a course of action for cost savings initiatives and provides insight to material purchasing
  • Perform other job responsibilities as assigned
Requirements
  • High School diploma or GED
  • Valid Driver’s License
  • Two (2) or more years of inventory control or parts management experience
  • Microsoft Office experience

  • Ability to make simple and repeated movements of the fingers, hands, and wrists
  • Flexibility to accept and adapt to change as well as the commitment to seek continuous improvement
  • Knowledge of applicable state/provincial and federalregulations
  • Knowledge of proper lifting techniques
Working Conditions

The Parts Administrator may work in various weather conditions. May be exposed to unpleasant sights and smells, such as exhaust fumes, gasoline, diesel fuel, and other dangerous and/or toxic substances or chemicals. Working around moving parts/objects, vehicles, machinery with moving parts.

Physical Demands
  • Employee is regularly required to talk, hear, listen, sit and stand
  • Continuous walking, standing, sitting, climbing, carrying, stooping, bending, kneeling, reaching, lifting, grasping/gripping, and pushing/pulling
  • Work utilizing personal protective equipment, including hearing protection, safety-toed boot, utility gloves, reflective vest, hearing and eye protection, hard hat, etc.
  • Ability to lift files, open filing cabinets and bend or stand on a step stool as necessary
  • Physical ability to lift at least 50 pounds as needed
