Qualifications

Responsibilities

  • Post invoices to inventory control systems.

  • Generate purchase orders (POs) and print invoices daily.
  • Provide administrative support for excess return management, including maintaining and monitoring return records.
  • Complete the DTNA PARS process, including creating adjustment requests and coordinating shipping/receiving for returned parts.
  • Follow up on local returns and process credits.
  • Assist the Central Operations team in reconciling invoice, PO, and credit variances.
  • Perform miscellaneous administrative duties as assigned.

Parts Administrator

Location: Edmonton, AB
Compensation: $23.66 - $34.00 per hour + Bonus Eligibility
Employment Type: Full-Time

We are seeking a detail-oriented and organizedParts Administrator to support inventory control and parts operations. This role is responsible for a variety of administrative and clerical functions, including invoice processing, purchase order management, inventory reconciliation, returns processing, and maintaining accurate records. The ideal candidate will possess strong administrative skills, excellent attention to detail, and the ability to work effectively in a fast-paced environment.

Essential Functions and Purpose

The Parts Administrator performs clerical duties related to maintaining inventory control and supporting parts operations.

  • Post invoices to inventory control systems.
  • Reconcile cash drawers, as required.
  • Submit parts tickets for pricing, status updates, and lead-time requests.
  • Generate purchase orders (POs) and print invoices daily.
  • Provide administrative support for excess return management, including maintaining and monitoring return records.
  • Complete the DTNA Parts Adjustment Request (PARS) process, including:
    • Creating adjustment requests.
    • Coordinating shipping and receiving activities for returned parts.
    • Tracking return and shipping status.
    • Following up on PAR approvals and credit processing.
  • Follow up on local returns and process credits.
  • Assist the Central Operations team in reconciling invoice, purchase order, and credit variances.
  • Perform miscellaneous administrative and job-related duties as assigned.
Required Qualifications
  • High school diploma or equivalent.
  • Minimum one (1) year of experience in an office administrative position or comparable role.
  • Demonstrated experience with:
    • Administrative paperwork preparation.
    • Data entry.
    • Inventory reporting.
    • Invoice reconciliation.
    • Purchase order creation and processing.
  • Strong analytical and problem-solving skills with the ability to identify issues and resolve discrepancies.
  • Experience using electronic databases and systems for entering, updating, and maintaining accurate records.
  • Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
Preferred Skills
  • Strong organizational and time-management abilities.
  • Excellent attention to detail and accuracy.
  • Effective verbal and written communication skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Experience in parts, inventory, warehouse, trucking, or automotive environments is considered an asset.
