Overview

We are seeking a dedicated, organized, and proactive Operations Manager to join our growing real estate business. This full-time hybrid role plays a critical part in keeping operations efficient, deals on track, and the team aligned. You will work closely with the founder and serve as a key contributor to the growth and success of our real estate division.

Key Responsibilities
  • Deal Coordination & Transaction Management
    • Draft offers and prepare supporting documentation
    • Manage listing paperwork and MLS uploads
    • Track financing conditions and deposit deadlines
    • Coordinate property closings with all involved parties
    • Maintain tracking sheets and ensure deal timelines are met
    • Ensure deal files are compliant and complete
    • Set up lockboxes and manage key inventory
    • Maintain detailed closing checklists for each transaction
  • Client & Communication Support
    • Manage and respond to client inquiries (info@theavantgroup.ca)
    • Schedule appointments, showings, and internal team calls
  • Team Support & Oversight
    • Provide regular reporting on team activity and the deal pipeline
  • Systems & Workflow Management
    • Build and maintain Standard Operating Procedures (SOPs)
    • Identify workflow gaps and implement productivity tools
    • Maintain internal calendars, checklists, and operational templates
  • Marketing & Listing Support
    • Coordinate listing photoshoots and staging appointments
    • Prepare marketing materials (feature sheets, brochures, signage)
    • Manage MLS and website listing uploads
    • Track showing feedback and create seller reports
    • Collaborate with the marketing team for optimized listing promotions

Additional Role Details

  • Hybrid Role: Primarily remote, with in-person presence required for team meetings, listing setups, or specific property tasks
  • Flexible Hours: Availability during standard business hours is expected
