Operations Administrative Assistant
We’re looking for an Operations Administrative Assistant to be a part of our growing Canadian (AB & ON) team. The role plays a key role in supporting production, costing, procurement, and shipping activities. This position is responsible for accurate data entry, inventory and materials tracking, maintaining operational documentation, and supporting smooth workflow across multiple departments. The ideal candidate is detail‑oriented, organized, and comfortable working in a fast‑paced manufacturing environment.
The role is situated in Camrose, AB and is an in‑office role, not remote.
ESSENTIAL JOB FUNCTIONS
Production & Labeling Support
- Print daily barcode labels for production and shipping needs.
- Ensure labeling accuracy and availability for all production lines.
Data Entry & Production Tracking
- Enter weekly material costing into the production workbook.
- Input daily production data into the production sheet.
- Retrieve order information from PIMS and enter it accurately into the workbook.
- Verify all data entries for accuracy and report discrepancies to supervisors.
- Review and correct double tallies as required.
Procurement & Administrative Responsibilities
- Enter purchase requisitions into Visual ERP, ensuring accuracy, completeness, and timely approval.
- Maintain production, costing, and procurement documentation.
- Support cross‑functional communication between Production, Procurement, Shipping, and Inventory teams.
QUALIFICATIONS & REQUIREMENTS
Education
- High school diploma required.
- Post‑secondary education in business, supply chain, or a related field is considered an asset.
Experience
- 1–3 years of experience in production support or manufacturing.
- Experience in inventory control or materials management.
- Planning & scheduling support experience.
- Administrative or data‑entry roles involving ERP systems.
- Familiarity with ERP systems (Visual, PIMS, or similar).
- Experience with Bills of Materials, work orders, or production documentation.
- Strong proficiency with Excel or spreadsheet‑based work.
- Cross‑functional coordination experience.
Skills & Competencies
- Strong attention to detail and accuracy in data entry.
- Ability to learn and use internal systems such as Visual and PIMS.
- Excellent communication and organizational skills.
- Ability to work independently and collaboratively with multiple teams.
- Intermediate Excel skills or willingness to learn.
Physical Demands
- Sitting, standing, and walking for extended periods between office and production areas.
- Use of required PPE (safety glasses, hearing protection, steel‑toed footwear) when entering production spaces.
- Occasional bending, reaching, and lifting up to 20–30 lbs.
Mental Demands
- Must handle diverse work tasks daily.
- Ability to resolve issues, manage conflict, and make decisions under pressure.
- Must interact effectively with employees at all levels of the organization.
Working Conditions
