The Office Services Technician provides routine distribution, premises, and purchasing services in the Toronto office. These services include furniture and equipment moves, sorting and routing of mail, and filling general office supply orders. The Office Services Technician will ensure all work is undertaken and executed in accordance with firm's safety and security guidelines.

Hours of Work: 10:30 AM - 6:30 PM, Monday to Friday

Major Responsibilities

  • Prepares boardrooms in the Conference Center and on practice floors for seminars and meetings (both for internal and external clients). This includes set up and re-setting furniture and equipment as per the work order request.
  • Completes Office Services requests, as scheduled by the Supervisor. This includes installation of whiteboards, pictures, varidesks, and minor repair work.
  • Executes scheduled inspections of boardrooms, washrooms, general spaces, and first aid kits/NERP supplies and reporting any issues to the Office Services Supervisor.
  • Performs internal moves/student rotations from end to end. This includes the organization of employee boxes, chairs, and other furniture as indicated on the MAC spreadsheet. Some moves may include tagging of furniture, assisting with the packing of office contents, and overseeing external moving companies. Once the workstation is supplied, the Office Services Technician will ensure the office/workstation is presentable (ex. furniture wiped down, garbage/recycling bin and name plate in place, etc.).
  • Completes distribution requests, including mail, fax, and courier.
  • Delivers and pickup of Interoffice Mail on assigned floors as scheduled and ensuring all picked up mail is returned to the mailroom, sorted & processed.
  • Fulfilling all orders received via Toronto e-purchasing (Toronto only) and Osler Store (all offices).
  • Unpacking incoming purchase orders and placing items on shelves.

Position Requirements

Education and Experience

This position requires a high school diploma plus one year experience working in an office environment. An equivalent combination of education, training and experience may be acceptable.

Knowledge and Skills

  • Knowledge of office practices and procedures.
  • Time management and organizational skills with the ability to prioritize and accomplish assigned tasks while effectively multitasking.
  • Ability to work independently and be a team player.
  • Ability to read, write, and follow verbal and written instructions.
  • Proficient in Microsoft Office and comfortable learning new systems (Microsoft, Outlook, Excel, Word, MCDM).
  • Customer service oriented and the ability to interact with a variety of individuals.
  • Ability to operate hand tools in a safe manner; basic carpentry, mechanical and electrical knowledge is an asset.
  • Required to frequently lift up to 50 lbs.
