Qualifications

  • Proficiency in Microsoft Office Suite (Outlook, Word, and Excel) is required.
  • Post-secondary education required.
  • Preferred experience in financial services or a professional services environment.
  • Familiarity with visitor management systems and building access protocols.
  • Experience supporting large, multi-floor office environments.

Responsibilities

  • Provide professional front desk coverage, including greeting clients and visitors and managing guest registration.
  • Manage meeting room bookings and coordinate catering requirements.
  • Coordinate visitor access in accordance with building security protocols and internal procedures.
  • Support day-to-day mail and courier operations and office supply inventory.
  • Liaise with building management and external vendors for maintenance requests.
  • Provide coverage across multiple floors and teams based on business needs.
  • Assist with onboarding logistics, including workspace setup and access coordination.

This unique role will support between all areas within the Office Services department.The successful candidate will provide flexible support across mail services, reception & conference services, and facility operations, ensuring seamless coverage and a professional standard of service across multiple floors.Key ResponsibilitiesMail ServicesComplete scheduled daily mail runs, including pick up and drop off all mail and courier packagesSupport daily mail operations, including processing and tracking of outgoing courier requests (e.g., FedEx, Purolator), and inbounding internal deliveriesMaintain office supply inventory and coordinate timely restocking with vendorsProcess printing and binding requestsCoordinate regular updates to office bulletin boards and display materialsFacility OperationsPerforms minor maintenance, troubleshooting, and repair tasks on workplace equipment and amenities to support day-to-day operations.
