Job summary

Brookfield Asset Management’s Renewable Power & Transition Executive Team seeks an organized Executive Assistant to provide comprehensive administrative support to senior leaders and their teams. You will manage calendars, travel logistics, and document preparation, enabling efficient decision-making and seamless operations.

The role requires discretion, strong communication, and the ability to handle multiple priorities in a fast-paced environment.

Qualifications

  • Minimum 5 years of administrative experience, preferably supporting senior executives in a corporate environment.
  • Proven ability to handle confidential and sensitive information with utmost discretion.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with Concur or similar expense management systems is an asset.
  • Exceptionally organized with the ability to anticipate needs and act proactively.
  • Strong written and verbal communication skills, with keen attention to detail.
  • Ability to manage multiple priorities efficiently while maintaining a high standard of accuracy.
  • Demonstrated ability to work independently and collaboratively within a team environment.
  • Strong interpersonal skills, sound judgment, and a professional demeanor.
  • Flexibility to work overtime as required.

Responsibilities

  • Provide comprehensive calendar and scheduling management for senior executives, including coordination of complex and dynamic meeting schedules.
  • Coordinate domestic and international travel, including detailed itineraries and logistical support.
  • Support event planning and project management activities as required.
  • Prepare and edit high-quality presentations in PowerPoint, incorporating charts, graphs, and visual elements to effectively convey key messages.
  • Manage document preparation and distribution for internal and external meetings, ensuring accuracy and timeliness.
  • Review, process, and reconcile vendor invoices and expense reports; maintain accurate financial tracking in accordance with company policy.
  • Manage incoming communications, including email, phone, and correspondence, ensuring timely and appropriate follow-up.
  • Provide support to other Executive Assistants during peak periods, absences, or high-demand projects.
  • Support onboarding activities for new employees, ensuring their smooth transition.
  • Participate in ad hoc office and operational projects, including process improvement and documentation management initiatives.
