Job summary

City of Moose Jaw is seeking an administrative leader to support the Moose Jaw Fire Department with confidential and efficient office management. The role oversees payroll, budgeting, records, and policy administration while coordinating meetings and records.

Ideal candidates will have a Diploma in Office Administration, 3+ years of admin/office management experience, and strong Microsoft Office skills, with Saskatchewan drivers licence.

Qualifications

  • Diploma in Office Administration, Business Administration, or a related field.
  • Three years of progressively responsible administrative or office management experience would be an asset.
  • Experience with payroll, budgeting, records management, and confidential administrative functions.
  • Municipal, emergency services, or unionized environment experience is considered an asset.
  • Exceptional organizational and time-management skills.
  • Advanced proficiency in Microsoft Office applications.
  • Strong attention to detail, discretion, and professionalism.
  • Knowledge of administrative, payroll, purchasing, and records management practices.
  • Ability to interpret policies, procedures, and collective agreements.
  • Valid Saskatchewan Class 5 Driver's Licence.

Responsibilities

  • Coordinate payroll, attendance tracking, vacation and leave records.
  • Assist with departmental budgets, business planning, and financial administration.
  • Prepare confidential correspondence, reports, and departmental records.
  • Support administration of policies, procedures, and collective agreements.
  • Coordinate meetings, agendas, minutes, and records.
  • Assist with emergency management and social services planning activities.
  • Review incident reports and maintain departmental records systems.
  • Coordinate office procurement, travel arrangements, and administrative assets.
  • Provide customer service and reception support.
  • Support office security, workplace safety, and other administrative functions.
  • Participate as a member of the Fire Department Management Team.
