The Office Manager will coordinate daily operations across MUFG Canada's real estate footprint, currently consisting of two floors and a disaster recovery site. The Office Manager will also lead and manage a team of three administrative and office management staff, ensuring high performance and collaboration across all administrative functions. This position also serves as Executive Assistant to the Chief Corporate and Administrative Officer.

Responsibilities: -

Office Management

  • Manage the day-to-day operations of MUFG Canada's real estate footprint, ensuring a productive and well-maintained work environment.

  • Serve as the first point of contact for building management and service vendors for MUFG Canada's offices

  • Oversee maintenance requests, cleaning schedules, and workspace arrangements

  • Ensure health and safety compliance across office locations - Oversee security and access badge systems across offices

  • Implement and maintain office policies and procedures

Executive Assistant (EA)

  • Serve as EA to the Chief Corporate Administrative Officer, including scheduling appointments, managing travel arrangements, and managing expense submissions

  • Serve as team lead of other EA/administrative staff, ensuring seamless backup coverage and a consistently high level of service across the Executive team

Administrative

  • Monitor and maintain office supplies inventory across MUFG Canada offices

  • Maintain vendor management records; process invoices and payments

  • Maintain office records and filing systems

  • Coordinate meeting room scheduling, setup, and support AV needs when required

  • Organize and support company events, team meetings, and visitor hospitality

  • Facilitate office tours

  • Streamline administrative processes and improve efficiency

Management

  • Supervise, mentor, and support a team of three administrative staff, including performance management and professional development

Qualification & Experience

  • Bachelors degree, or equivalent in years of experience

  • 5+ years of experience as an office manager, administrative manager, or similar role.

  • Excellent time management and organizational skills.

  • Excellent verbal/written communication and interpersonal skills.

  • Strong attention to detail.

  • Ability to lead a team, and to coach and mentor staff.

  • Ability to lift up to 15 lbs for occasional office moves or event setups.

  • Advanced skills in Microsoft Office 365 including PowerPoint, Word and Excel Power BI skills an asset
