Job summary

Northern Lights Resort & Spa in Whitehorse, Yukon, is seeking an organized, friendly Office Manager to keep our busy front office running smoothly and help make every guest’s stay memorable.

You’ll handle reservations, inquiries, and guest arrivals, assist with bookings and guest services, and coordinate office tasks while warmly welcoming guests and supporting the owners. This is a hands-on role blending administrative work with hospitality.

Qualifications

  • At least 2 years of office or administrative experience.
  • Strong written and spoken English.
  • Experience with Google Workspace (Gmail, Docs, Sheets, Calendar, Drive).
  • Friendly, guest-first attitude with strong organizational skills.
  • Attention to detail and ability to juggle office work with guest hospitality.

Responsibilities

  • Run the office day-to-day, keeping emails, phone calls, and correspondence well organized.
  • Manage reservations and guest inquiries, and handle bookings.
  • Assist with sales outreach and bringing in more bookings.
  • Prepare and organize the aurora photos we take of our guests.
  • Look after our guests in the afternoons, including sauna and massage appointments.
  • Support the owners with bookkeeping and keep financial records accurate and up to date.
  • Keep the office tidy, stocked, and running efficiently.

Northern Lights Resort & Spa is an award-winning, exclusive boutique hospitality destination in Whitehorse, Yukon, where guests come to see the aurora, relax, and enjoy warm, personal service. We’re looking for an organized, friendly Office Manager to keep our office running smoothly and help make every guest’s stay a memorable one.

About the Role

As Office Manager, you’ll often be the first person our guests deal with, and you’ll keep our day-to-day operations organized. The job mixes office work with hands-on hospitality. One day you might be managing reservations and answering inquiries; the next, you’re welcoming guests in the afternoon or getting their Aurora photos ready. It’s a varied role that suits someone who likes both structure and working closely with people.

What You’ll Do
  • Run the office day-to-day, handling emails, phone calls, and correspondence, and keeping everything well organized.
  • Answer guest inquiries quickly and professionally, and manage bookings and reservations.
  • Handle sales and outreach, including sales calls and cold calls to bring in more bookings.
  • Prepare and organize the aurora photos we take of our guests, so they go home with a great memory of their northern lights experience.
  • Look after our guests, entertaining them in the afternoons and taking them to their sauna and massage appointments.
  • Support the owners with bookkeeping and help keep our financial records accurate and up to date.
  • Keep the office tidy, stocked, and running efficiently.
What We’re Looking For
  • At least 2 years of office or administrative experience (hospitality experience is a strong plus).
  • Strong written and spoken English.
  • Comfortable working with Google products (Gmail, Google Docs, Sheets, Calendar, and Drive).
  • A warm, guest-first attitude, good organizational skills, and attention to detail.
  • The ability to juggle office work and guest hospitality with a friendly, can-do approach.
