Job summary

Rimrock Banff is seeking a Sales Office Manager to join our luxury resort team in Banff, Canada. This role supports the Sales group, coordinating site inspections, events, and communications with regional teams, while managing payroll, invoices, expenses, and monthly accruals.

The position collaborates on month-end reporting, budgeting, and forecasting, ensuring accuracy and efficiency. Start date is August 2026, with a focus on precision, ownership, and delivering elevated guest experiences.

Qualifications

  • Bachelor-level education or equivalent in business, hospitality, marketing, or related field.
  • Proven ability to analyze data and draw conclusions.
  • Understanding of sales processes, budgeting, reporting, and financial administration.
  • Excellent organizational skills with the ability to manage multiple priorities and attention to detail.

Responsibilities

  • Coordinate site inspections with senior sales leadership and regional teams.
  • Organize and support industry events for diverse client segments.
  • Optimize guest experiences and business performance through space allocation and planning.
  • Prepare payroll, invoices, expenses, purchasing, and monthly accruals.
  • Produce month-end financial reporting, GL reviews, and FX reporting.
  • Assist with sales and marketing budgets and department forecasting.
  • Onboard new Sales & Marketing staff and manage vendor relations.

The SalesOffice Manageris a highly organized and detail-oriented professional who supports the Sales team in delivering seamless, elevated experiences from the very first inquiry. Witha strong senseof ownership and a proactive mindset, this role ensures every detail is handled with care, accuracy, and intention.

What You'll Be Doing:

  • Coordinator andparticipateinsite inspections alongside the Director of Group Sales, Director of Sales & Marketing, Regional Sales teams, and Global Sales Office partners.
  • Supporting and organizing key industry events forclientele across multiple segments.
  • Review group opportunities to maximize both guest experience and business performance through thoughtful optimization of guestrooms and event spaces.
  • Continuously seek opportunities to improve the efficiency and impact of client visits, sales initiatives, and internal processes.
  • Prepare all site and group segment’s Business Development Trip (BDTs) forms and arrange details as needed by Regional Sellers.
  • Foster strong relationships with Sales, Marketing, Public Relations, Wellness, Conference Services, and operational leaders to ensure every client interaction is delivered seamlessly.
  • Administer departmental payroll through Dayforce.
  • Manage invoices, expense reporting,purchasing, and monthly accruals usingBirchstreetand Concur.
  • Prepare month-end financial reporting, including profit and loss analysis, general ledger reviews, foreign exchange reporting, and departmental forecasting.
  • Assistwith sales & marketing budget creation, adhering to corporate budget guidelines and hotel specific requirements.
  • Oversee onboarding for new Sales & Marketing colleagues, ensuring they have the tools and resources to succeed from day one.
  • Coordinate community donation requests, including gift certificate creation, approval, fulfillment, and tracking.
  • Produceaccuratesales, banquet, and commercial performance reports that support strategic decision-making.
  • Coordinate office administration,purchasing, business cards, client gifts, mail distribution, and documentation.
  • Support strategic tasks and administrative duties.
  • Attend regular Sales, Conference Services, and operational meetings to stay aligned and informed.
  • Other duties as assigned
Qualifications

What You Bring

  • Post-secondary education inBusiness Administration, Hospitality Management, Marketing, or a related field.
  • Sales Coordinator, Sales Administrator, or Sales Operations role, preferably within luxury hospitality, hotels, or resorts.
  • Ability to analyze and draw conclusions from data
  • Understanding of sales processes, financial administration, budgeting, and reporting.
  • Exceptional organizational skills with the ability to manage multiple priorities whilemaintainingmeticulous attention to detail.

Bonus IfYouBring

  • Familiarity and knowledge of Banff National Park
  • Previousexperience usingDelphi,Dayforce,Birchstreet,Concur, or similar hospitality systems.

Physical Demands

The role of SalesOffice Manageris primarily office-based, with occasional movement throughout the resort. The position requires:

  • Participation in site inspections and resort walkthroughs

Visa Requirements:Must be legallyauthorizedto work in Canada. The hotel is unable toassistcandidates in obtaining Canadian work authorization.
