We are seeking an Office Coordinator to be the first point of contact for our office, ensuring a welcoming and organized environment for employees, clients, and vendors. In this role, you will manage the front desk, handle various administrative tasks, and provide essential support across the office. Success in this role requires strong organizational skills, the ability to manage multiple priorities, and effective communication.

Although StackAdapt is a remote-first company, this role is fully in-person at our downtown Toronto office near Union Station. You are expected to work in the office Monday through Friday, 9 am to 5 pm.

What you'll be doing:
  1. Act as the point of contact at our Toronto collaboration hub, greeting employees, clients, and visitors, and managing front desk operations.
  2. Support in-office duties such as scheduling, admitting vendors, tidying common areas, and housekeeping.
  3. Order and maintain inventory of office supplies, including drinks, snacks, and essentials.
  4. Assist the Employee Events Manager and Executive Assistants with in-office events, meetings, administrative tasks, and ad hoc projects.
  5. Maintain a clean, organized, and welcoming office environment.
  6. Communicate with employees across all levels to provide assistance and information.
  7. Manage incoming mail and route it appropriately.
  8. Handle incoming calls, emails, and deliveries.
  9. Serve as a resource for employee inquiries related to office logistics.
What you'll bring to the table:
  • A positive, can-do attitude
  • At least 2 years of administrative experience, preferably in a front-facing role
  • Comfort with a wide range of administrative tasks and managing multiple projects
  • Excellent organizational skills with attention to detail
  • Strong interpersonal and professional communication skills
  • A proactive approach to problem-solving and the ability to work independently and in a team
  • Ability to anticipate needs and act proactively
  • Discretion with confidential information
  • Experience in a technology company is a bonus
