As the Office Coordinator, you will be the first point of contact for our office, ensuring a welcoming and organized environment for employees, clients, and vendors. In this role, you will manage the front desk, handle various administrative tasks, and provide essential support across the office. Your ability to stay organized, manage multiple priorities, and communicate effectively will be key to your success in this role.

Although StackAdapt is a remote-first company, this role is fully in-person, and will be based out of our downtown Toronto office located near Union Station. You are expected to be in the office Monday through Friday 9-5pm.

What you'll be doing:

  • Act as the point of contact at our Toronto collaboration hub, greeting employees, clients, and visitors, and managing front desk operations.
  • Support with in-office duties, such as scheduling and admitting vendors to the space, tidying common areas, and housekeeping.
  • Order and maintain inventory of office supplies, including drinks, snacks, and other essentials.
  • Support the Employee Events Manager and Executive Assistants with in-office events/meetings, administrative tasks and ad hoc projects as needed.
  • Ensure the office environment remains clean, organized, and welcoming for everyone.
  • Communicate with employees across all levels of the organization to provide assistance and information as needed.
  • In charge of all incoming mail to StackAdapt and routing it to the appropriate contact
  • Manage incoming calls, emails, and deliveries
  • Serve as a go-to resource for general employee inquiries related to office logistics

What you'll bring to the table:

  • A positive, can-do attitude
  • 2+ years of administrative experience, preferably with experience in a front-facing role.
  • Comfort in performing a wide range of administrative tasks, and managing multiple projects simultaneously.
  • Excellent organizational skills with a strong attention to detail.
  • Strong interpersonal skills, with the ability to communicate professionally and warmly with people across all levels of the organization.
  • A proactive approach to problem-solving and the ability to work independently as well as part of a team.
  • Ability to think proactively, anticipate needs, and action them.
  • Discretion in dealing with confidential and sensitive information.
  • Huge bonus if you have worked for a technology company
