We are seeking a detail-oriented and welcoming part-time Office Administrator to join our busy Beamsville location for approximately 15 hours per week, increasing up to 25 hours per week in 2027. We are also open to hiring two applicants working 10-15 hours per week each, so please specify your availability when applying.
As Office Administrator, you will support daily clinic operations and deliver exceptional, compassionate service to our patients while maintaining accuracy and strict patient confidentiality. We are looking for an upbeat, proactive individual with strong computer skills who is eager to learn and grow with our team.
In this role, you will:
- Be the warm and welcoming first point of contact for our patients, having a warm, friendly and welcoming personality is a MUST, fostering a positive and supportive atmosphere from the moment they arrive.
- Manage appointment scheduling with precision, including annual check-ups and follow-up visits, ensuring efficient flow and execute appointment reminders, collect demographic information and verify insurance.
- Professionally and efficiently handle all incoming phone calls on a multi-line phone promptly addressing inquiries and managing messages with clarity.
- Facilitate seamless physician communication through the accurate and timely faxing of reports and other necessary correspondence.
- Confidently and clearly answer patient questions regarding ear wax removal procedures, hearing tests and hearing aids, providing accurate and helpful information.
- Maintain precise data entry and ensure accurate and organized record-keeping, adhering to privacy guidelines of maintaining client’s privacy in the strictest compliance with standards.
- Process patient payments accurately and efficiently, including posting to accounts and managing daily transactions and inventory.
- Manage the patient check-in and check-out processes smoothly and efficiently, ensuring a positive experience.
- Generate accurate invoices using our software system and process patient payments with attention to detail.
- Carefully receive and record hearing aid orders, including critical details such as serial numbers and warranty dates, ensuring accuracy.
- Prepare and maintain organized patient files, ensuring confidentiality, accuracy, and easy access to information.
- Provide essential office support to our Audiologist.
Qualifications & Skills:
- Previous office administrative experience an asset, ideally within a medical office setting. Office Administration Diploma Preferred
- Demonstrates familiarity with healthcare office procedures.
- Excellent ability to communicate clearly and professionally, both verbally in person and in writing, and over the phone.
- Computer literate with proficiency in Word, Excel and other programs
- Exceptional attention to detail and accuracy is crucial, particularly when entering product serial numbers, managing patient accounts, and processing payments.
- A willingness to learn new tasks quickly and efficiently, demonstrating adaptability and a proactive approach.
- Strong organizational skills and the ability to multitask effectively in a busy environment while maintaining focus.
- A genuine commitment to providing friendly, interactive, and exceptional customer service to our patients.
- Ability to perform job duties with minimal to no supervision
