Job summary

Right Time Heating and Air Conditioning in Edmonton is seeking an organized Office Administrator to oversee service department coordination and record-keeping. You will handle requests, schedule appointments, process warranty claims, and maintain detailed records to support multiple teams in a fast-paced environment.

The ideal candidate has a Secondary School Diploma, 2–3 years of administrative experience, and strong MS Office skills.

Qualifications

  • Secondary School Diploma is required.
  • 2–3 years of experience in an administrative function.
  • Proficiency in MS Office (Word, Excel).
  • HVAC experience is an asset.

Responsibilities

  • Monitor service requests for customers and ordering parts that are required
  • Processing warranty claims with suppliers
  • Communicate with customers to schedule return appointments and provide updates on service status
  • Maintain accurate records of service requests, work orders and customer interactions
  • Collaborate with other departments to ensure smooth service delivery
  • Attend to customer service requests via email and over the phone
  • Special projects and reports as required.

We are looking for a highly organized and detail-oriented Office Administrator to manage and coordinate many aspects of our service department.

Responsibilities:

Education/Experience/Skills

The ideal candidate will have:

  • A Secondary School Diploma
  • A minimum of 2 to 3 years experience in an administrative function
  • An extreme proficiency in MS Office (Word, Excel)
  • Prior experience in HVAC (asset)
  • Effective time management, organizational abilities
  • A professional attitude illustrated through superior verbal and written communications skills coupled with demonstrated customer service skills.
  • Demonstration of sound decision making skills and professionalism in dealing with sensitive information, necessitating use of discretion, tact and good judgment.
  • Must be able to work independently, have analytical and problem solving skills, and superior interpersonal and communication skills, both verbal and written.
  • Strong organizational skills, the ability to establish priorities with attention to detail, and work without direct supervision in a small office environment.
