Position Overview
Reporting to the Director of Business Operations, the Office Administrator supports the smooth execution of business functions by handling a wide variety of administrative and clerical tasks. This role ensures the efficient flow of information, documentation and support services across departments. The Office Administrator interacts regularly with internal staff and external stakeholders, maintaining professional communication and attention to detail. The ideal candidate will be organized, responsive, and capable of managing multiple tasks while supporting team productivity and office coordination.

What You’ll Do
- Enter new sales orders and project details into the ERP system, ensuring accuracy and alignment with contractual requirements.
- Liaise with internal departments (sales, operations, engineering) to help facilitate accurate sales pipelines and smooth and timely project onboarding and kickoff.
- Maintain accurate, organized and up-to-date customer records complete with all relevant commercial, contractual, insurance, safety, and taxation information.
- Ensure compliance with customers’ requirements through the timely submission of necessary documentation to them and/or their third-party certifiers.
- Coordinate onsite and offsite meetings, including booking travel and accommodation, reserving event spaces, and arranging catering or food services.
- Oversee and manage the company’s policy and procedure database to ensure consistency and quality, holding stakeholders accountable and supporting them with the drafting of new documents.
- Manage office operations including ordering office supplies, coordinating with landlords and service providers, retrieving and distributing mail, and maintaining the organization and cleanliness of shared office spaces.
- Answer, screen, and route incoming phone calls and emails, taking and delivering messages as required.
- Greet visitors with professionalism and courtesy, ensuring they are signed in and appropriately connected with staff.
- Provide administrative support for other departments as required, including data entry and form completion, preparation of reports/presentations, and drafting of correspondence

What You Bring
- Post-secondary education in business administration, office management, or a related field is preferred. Equivalent experience will also be considered.
- Previous administrative or operations support experience, ideally in a multi-departmental or project-based environment.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with ERP or CRM systems is an asset.
- Strong attention to detail with excellent time management and the ability to prioritize tasks in a fast-paced environment.
- Professional verbal and written communication skills; confident interacting with all levels of internal staff and external stakeholders.
- Collaborative and adaptable; able to work independently while contributing positively to a team-focused environment.
- Maintains confidentiality and handles sensitive information with professionalism and integrity.
