Job summary

CPA Ontario is seeking a Members Coordinator to join our Membership team. Reporting to the Membership Manager, you will play an important role in administering membership and regulatory processes, ensuring the accurate and timely processing of applications, transactions, and member records.

You will provide guidance and support to members and stakeholders, navigate complex policies and procedures, and contribute recommendations that support regulatory decision‑making.

Qualifications

  • Post-secondary degree or diploma with related experience in academic, membership, regulatory or professional services.
  • Experience interpreting and applying complex bylaws, policies and procedures.
  • Strong written and verbal communication skills with a customer service focus.
  • Exceptional attention to detail and accurate records management.
  • Ability to prioritize, manage multiple tasks, and perform under pressure.

Responsibilities

  • Administer annual regulatory processes, including membership dues and CPD declarations.
  • Draft and maintain communications, forms, decision letters, and website content.
  • Review applications and requests, making recommendations per regulations and bylaws.
  • Process documentation for member bankruptcies and insolvencies and coordinate investigations.
  • Review compliance records and prepare recommendations for suspensions or revocation.
  • Prepare membership files for management review and Registrar decisions.
  • Serve as primary contact for members and stakeholders via phone, email, and mail.
  • Collaborate across departments to verify membership standing and issue certificates.
  • Identify trends and opportunities, preparing summaries and reports for decision-making.
  • Act as subject matter expert for membership matters and contribute to projects.

About This Opportunity:

CPA Ontario is seeking a Members Coordinator to join our Membership team. Reporting to the Membership Manager, you will play an important role in administering membership and regulatory processes, ensuring the accurate and timely processing of applications, transactions, and member records.

You will provide guidance and support to members and stakeholders, navigate complex policies and procedures, and contribute recommendations that support regulatory decision-making. What You’ll Be Doing:
  • Support annual regulatory processes, including the administration of Annual Membership Dues, Continuing Professional Development (CPD) Declarations, annual and triennial audits, and other regulatory requirements.
  • Draft and maintain internal and external communications, including forms, decision letters, and website content, ensuring accuracy, professionalism, consistency, and timely delivery.
  • Review and assess membership-related applications and requests, making recommendations in accordance with applicable regulations, bylaws, policies, and procedures while exercising sound judgment and meeting established service standards.
  • Collect, review, and process documentation related to member bankruptcies and insolvencies, coordinating investigations and preparing files for management and Registrar review.
  • Review member compliance records and identify individuals who have not met annual obligations, preparing recommendations for suspension or revocation decisions as appropriate.
  • Prepare and organize membership files for management review, including recommendations for approval or denial on behalf of the Registrar.
  • Serve as a key point of contact for members and internal stakeholders, responding to inquiries by phone, email, and mail regarding membership applications, annual processes, and related matters. This includes handling escalated inquiries and supporting both inbound and outbound communications.
  • Collaborate with departments across the organization to verify membership standing and support the administration and distribution of membership and award certificates.
  • Identify trends, issues, and opportunities for improvement, preparing summaries, reports, and recommendations to support decision-making and enhance processes, policies, and member services.
  • Act as a subject matter expert for membership-related matters and contribute to departmental and organization-wide projects and initiatives.
To Be Successful You Need:
  • A post-secondary degree or diploma, combined with experience in a related environment such as academic, membership, regulatory, or professional services. Experience interpreting and applying complex bylaws, policies, and procedures is required.
  • Strong technical proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint, as well as Microsoft 365 tools such as Teams, SharePoint, OneDrive, and OneNote. Experience with Salesforce and Power BI is considered an asset.
  • Excellent verbal and written communication skills, complemented by a customer service-oriented approach. You can navigate challenging situations with professionalism, diplomacy, sound judgment, and discretion, and understand when issues require escalation. Professional correspondence and letter-writing experience is an asset.
  • Exceptional attention to detail, with the ability to maintain accurate records, manage data effectively, and support the efficient administration of membership database systems.
  • Strong organizational skills, with the ability to prioritize competing demands, manage multiple tasks simultaneously, and perform effectively under pressure while meeting deadlines in a high-volume environment.
  • A proactive and self-motivated approach, with the ability to work independently while contributing positively to a collaborative team environment.
  • Flexibility to work additional hours outside of regular business hours, as required to meet operational needs.
Salary Range
  • The starting annual salary range for this position is between $53,000 - $66,300 per annum, based on your qualifications, experience, and internal parity. Exceptions may be considered with further review.
