Job summary

Fraser Health Authority in British Columbia seeks a Medical Office Assistant to provide comprehensive reception and clerical support within a multidisciplinary Primary Health Care team.

You will manage scheduling, patient registrations, MSP billing in Teleplan, prepare examination rooms, assist physicians and nurse practitioners, and coordinate referrals while maintaining organized files and supporting a smooth clinic workflow.

Qualifications

  • Grade 12 and MOA certificate; 1 year of related experience or equivalent.

  • Typing 40 wpm; knowledge of medical terminology; ability to operate related equipment; physical capability.

Responsibilities

  • Provides reception services including telephone inquiries, scheduling, referrals, and coordinating tests.
  • Performs clerical tasks: typing, copying, filing, and transcribing notes and reports.
  • Data entry for patient registrations and MSP billing in the Teleplan System; notify supervisor of aged/rejected claims.
  • Prepares examination rooms and ensures resources are available for all users.
  • Assists clinicians with procedures and specimens; maintains cleanliness of rooms and equipment.
  • Receives payments and records in cash receipts journal; assists in ordering supplies.

Salary

The salary range for this position is CAD $22.80 - $29.93 per hour.

Overview

Supporting the Vision, Values, Purpose and Commitments of Fraser Health, the Medical Office Assistant reports to the Supervisor, Primary Health Care, and acts independently as a member of a multidisciplinary team.

Responsibilities
  • Provides reception services, including handling telephone inquiries, scheduling appointments, arranging patient referrals to specialists, and coordinating special tests and other care providers.
  • Performs assigned clerical tasks, including typing, copying, assembling, and maintaining files and charts, and transcribing patient notes, correspondence, and reports.
  • Performs data entry for patient registrations and MSP billing information for the Teleplan System, notifying the Supervisor of outstanding aged and rejected claims, MSP remittances, and adjustments.
  • Prepares examination and treatment rooms for patient visits, including cleaning and setting up equipment.
  • Escorts patients to the appropriate examination room and ensures adequate resources are available for all users.
  • Assists Physician/Nurse Practitioner with clinic procedures such as examination room preparation for removal of warts, pap smears, and performs labstick urine testing.
  • Cleans and packages small surgical/procedures instruments according to standard protocols.
  • Receives payments from patients and records payments in the cash receipts journal.
  • Assists in ordering, maintaining, receiving and checking supplies, equipment and reference material.
  • Participates in the orientation of new staff and students; maintains manuals.
  • Liaises with staff of health care and social service organizations, as well as general practitioner offices, to provide program‑related information.
  • Reports unusual occurrences and risk management issues.
  • Participates on committees and attends meetings as assigned.
  • Performs other related duties as assigned.
Qualifications

Education: Grade 12 and Certificate from a recognized Medical Office Assistant program; one year of recent related experience or an equivalent combination of education, training and experience.

Competencies: Demonstrates the leadership practices of the Fraser Health Leadership Framework of Clear, Caring and Courageous.

Professional/Technical Capabilities:

  • Ability to type 40 wpm.
  • Knowledge of medical terminology.
  • Knowledge of other health care disciplines and their role in health care.
  • Ability to operate related equipment.
  • Physical ability to perform the duties of the position.
