Job summary

The Root Cellar is seeking a cheerful Administrative Assistant in Victoria, BC. This part-time role supports Marketing and other teams with busy, varied tasks—from campaigns and signage to store events and in-store demos.

The ideal candidate is organized, detail-focused and proactive, with comfort juggling priorities, Adobe Creative Suite, Excel and Google Workspace. In return, you'll join a local team that values integrity, sustainability, sunshine and innovation.

Qualifications

• Certificate or diploma in Business or Office Administration, or combination of education and experience.
• 1-2 years of administrative experience.
• Strong proofreading and grammar skills.
• Proficiency with Microsoft Office, especially Excel, and Google Workspace.
• Experience with Adobe Creative Suite, Mailchimp and WordPress is an asset.
• Excellent organizational and time-management skills.
• Able to work independently, take initiative and see tasks through.
• Positive, friendly attitude and willingness to have fun.
• Valid driver’s license and access to reliable transportation.

Responsibilities

• Keep our busy Marketing inbox and phone line organized and running smoothly.
• Provide day-to-day admin support to the office teams, primarily in Marketing.
• Help execute promotions, campaigns and seasonal marketing, as well as team events.
• Assist with weekly ads, signage, posters, labels and other marketing materials.
• Proofread everything from prices to punctuation - details matter.
• Print and distribute signage and promotional materials across our stores.
• Keep files, databases and reports organized and up to date.
• Track invoices, purchase orders and office supplies.
• Coordinate in-store demos, musicians and charitable donations.
• Process online orders and help get them out the door.
• Connect with store teams, vendors, printers and community partners.
• Pitch in with errands, special projects and whatever else helps keep the marketing wheels turning.
• Help bring a little extra sunshine to everything we do.

THE ROLE

The Root Cellar Marketing Team is looking for a highly organized, detail-oriented Administrative Assistant to join our team. This is a busy role with plenty of variety. One day you might be in the office helping with campaigns and admin, and the next you could be in one of our stores delivering signage, setting up holiday décor or coordinating an in-store demo.

We're looking for someone who enjoys variety, takes initiative and can keep things moving in a busy environment. You'll be comfortable juggling priorities, working independently and supporting the team wherever needed. WHAT YOU'LL DO

WHAT YOU BRING TO THE TABLE

• Certificate or diploma in Business or Office Administration, or a combination of education and experience.
• 1-2 years of administrative experience.
• Strong attention to detail, with excellent proofreading and grammar skills.
• Strong working knowledge of Microsoft Office, especially Excel, and Google Workspace (Docs, Sheets, Forms, etc.).
• Experience with Adobe Creative Suite, Mailchimp and WordPress is an asset, but not required.
• Excellent organizational and time-management skills, with the ability to manage multiple priorities in a busy, ever-changing environment.
• Comfortable working independently, taking initiative and seeing tasks through.
• A positive, friendly attitude and a willingness to have a little fun along the way!
• A valid driver's licence and access to reliable transportation.
