Position Summary

The Legal Assistant role offers a unique opportunity to develop Banking and Real Estate skills while providing administrative support within our Real Estate and Financial Services/Banking Group. The ideal candidate is confident, organized, and business-minded, capable of managing multiple tasks and adapting to changing priorities.

Responsibilities
  1. Draft, prepare, and proofread correspondence, accounts, and transactional documents.
  2. Maintain lawyer’s dockets, coordinate with the Accounting Department, and prepare detailed billings.
  3. Respond to client inquiries promptly, conduct follow-ups, and keep lawyers informed of interactions.
  4. Manage files, update client/matter lists, and maintain precedent systems per firm protocols.
  5. Handle incoming and outgoing mail, manage email accounts, and coordinate document delivery.
  6. Oversee accounting and trust procedures, including requisitions and expense reports.
  7. Perform general administrative duties such as scheduling, booking meetings, and travel arrangements.
  8. Support team collaboration, confidentiality, and internal/external client service.
  9. Other duties as assigned.
Requirements
  1. 3 to 5 years of legal assistant experience.
  2. Experience in financial services/banking or real estate.
  3. Post-secondary education in business or related field; Legal Administration Diploma preferred.
  4. PPSA experience is an asset.
  5. Proficiency with LawyerDoneDeal is an asset.
  6. Knowledge of legal and financial procedures and transactions.
  7. Team-oriented, willing to assist others, and capable of mentoring new team members.
  8. Ability to produce high-quality work under tight deadlines.
  9. Strong communication, organizational, and technical skills.
  10. Experience with accounting/docketing systems and data management tools like iManage.
  11. Professional demeanor with confidentiality and problem-solving skills.
